Requirements

  • High School Diploma or GED required; bachelor's degree preferred.
  • 2–5 years of experience in an office or administrative support role.
  • Strong customer service skills and ability to maintain confidentiality.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint); database experience preferred.
  • Strong written and verbal communication skills; excellent interpersonal skills.
  • Effective time‑management skills with the ability to multitask and meet strict deadlines.
  • Must be a U.S. Citizen.

Responsibilities

  • Manage and publish a bi‑monthly Orion newsletter.
  • Schedule and coordinate meetings, conference rooms, and reservations.
  • Assist with purchasing activities and maintain the office supply purchase log.
  • Support preparation of regularly scheduled reports and program documentation.
  • Assist new hires with onboarding tasks related to New Employee Orientation (NEO).
  • Develop and maintain an electronic filing system for Orion program documentation.
  • Coordinate travel arrangements for employees and serve as backup preparer for travel expense submissions.
  • Serve as the point of contact for visitor requests, coordinating approvals, notifying HR, and arranging site access with Talent Acquisition.
  • Provide administrative support to staff, guests, candidates, and new hires when management is unavailable.
  • Perform general administrative duties such as filing, typing, copying, scanning, and document organization.
  • Assist in maintaining site documentation including manuals, reports, handbooks, and diagrams.
  • Manage and update the training database, including safety‑training requirements and notifications.
  • Maintain both computer‑based and physical filing systems.
  • Handle sensitive and confidential information with discretion and professionalism.
