About The Position

The Orders Coordinator is responsible for ensuring prompt and accurate order processing and outbound deliveries, while also managing customer accounts and maintaining up-to-date documentation. This is a 100% onsite position located at our Markham office.

Requirements

  • Completion of post-secondary education in pharmacy, medicine, dentistry, veterinary, medicine, pharmacology, organic chemistry, or chemical engineering.
  • A minimum of two years in customer service, ideally in a high order processing environment is preferred.
  • Knowledge of Good Documentation Practice (GDP) is preferred.
  • Ability to read and interpret documents such as billing documents.
  • Must be able to communicate in both French and English; strong verbal and written skills as required.
  • Excellent organizational skills.
  • Takes initiative and demonstrates leadership abilities.
  • Excellent problem-solving skills.
  • Familiarity with Good Manufacturing (GMP) or applicable Regulatory Guidelines, particularly regarding temperature-controlled storage and handling of pharmaceutical products (a must requirement for Warehouse and Dex employees).
  • Employees working in warehouse operations are required to wear and properly use all essential or required personal protective equipment (PPE) as outlined by their department leader and in accordance with the employer’s safety requirements.

Responsibilities

  • Set up new customer accounts, including sending forms, creating customer cards, and ensuring forms are complete and sent to the online site.
  • Run reports upon request.
  • Become a super user of the Dex ordering portal and train other employees as required.
  • Process packing slips and invoices for outbound shipments.
  • Verify all client data for completeness and accuracy before packaging and invoicing.
  • Receive, review, and process orders using NAV and other systems.
  • Prepare necessary documentation and labels for order processing.
  • Coordinate with patient support programs to ensure client needs are met.
  • Receive all incoming calls regarding account management, order status, and account payments.
  • Follow up with past due accounts.
  • Monitor and process faxes, incoming orders, and various customer requests.
  • Participate in GMP (Good Manufacturing Practices) training annually.
  • Participate in training for the Dex Quality System.
  • Handle complaints and manage escalation calls.
  • Track shipments and notify clients of order status.
  • Review and file outbound documentation.
  • Act as a system administrator for ordering portals, managing customer accounts, updating inventory levels, and updating shipping order status.
  • Perform other duties as required.
  • Willingness to work for extended periods in cold environments (walk-in coolers) while handling and packaging pharmaceutical products.
  • Ability to maintain focus, attention to detail, and adherence to GMP or applicable regulatory guidelines, while working in temperature-controlled settings.
  • Physical stamina to handle repetitive tasks in cooler conditions, including the use of appropriate PPE.
