About The Position

The Order Management & Production Coordinator serves as the central coordination point between Sales, Engineering, Operations, Production, Inventory/Purchasing, and Finance for customer orders requiring engineered, configured, or custom products and services. This position is responsible for reviewing incoming purchase orders, contracts, and master service agreements; validating order requirements against quotations and supporting documentation; translating complex customer requirements into accurate sales orders and production work orders; coordinating engineering and production requirements; and ensuring orders are properly scheduled, released, and supported through execution. The position plays a critical role in maintaining alignment between customer requirements and BCI's manufacturing capabilities, including product configuration, engineering requirements, production capacity, material availability, work instructions, scheduling, and order completion. The Order Management & Production Coordinator also supports daily production prioritization and issue resolution by coordinating changes in schedule, material availability, work instructions, and production requirements across the organization.

Requirements

  • Experience in order management, customer order processing, production coordination, manufacturing operations, scheduling, or a related function.
  • Experience working in a manufacturing environment, preferably involving engineered-to-order, configured, or custom products.
  • Strong ability to read and interpret quotations, purchase orders, drawings, product specifications, and other technical or commercial documentation.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple orders and priorities simultaneously while maintaining accuracy.
  • Strong problem-solving and follow-through skills.
  • Ability to work effectively across Sales, Engineering, Production, Operations, Inventory/Purchasing, and Finance.
  • Strong written and verbal communication skills.
  • Proficiency with ERP systems, Microsoft Office, and related business systems.
  • ERP proficiency: Ability to accurately navigate and execute transactions across multiple functional areas.
  • Manufacturing understanding: Ability to understand how customer requirements translate into engineering, material, scheduling, and production requirements.

Nice To Haves

  • Experience with engineered-to-order or make-to-order manufacturing.
  • Experience with ERP-based sales order, work order, inventory, or production transactions.
  • Experience with production scheduling or finite-capacity planning.
  • Understanding of manufacturing routings, work instructions, bills of material, and subassembly structures.
  • Understanding of inventory control and month-end inventory reconciliation.
  • Familiarity with shipping, freight coordination, invoicing, and purchasing processes.
  • Experience coordinating complex orders involving multiple internal functions and customer-specific requirements.

Responsibilities

  • Review customer orders, contracts, quotations, drawings, and supporting documentation for completeness and accuracy.
  • Verify pricing, quantities, configurations, delivery requirements, and other commercial and technical details.
  • Coordinate with Sales, Engineering, Operations, and customers to resolve discrepancies or obtain missing information.
  • Enter and maintain accurate sales orders in the ERP system and communicate order acknowledgements.
  • Schedule and prioritize customer orders based on required delivery dates, capacity, materials, and existing commitments.
  • Create and maintain work orders for subassemblies and finished products.
  • Coordinate with Engineering and Production to ensure required documentation and instructions are ready for execution.
  • Monitor order readiness, identify schedule risks, and coordinate priorities, rescheduling, and issue resolution.
  • Coordinate with Inventory/Purchasing to confirm material availability and address constraints affecting production.
  • Investigate inventory and work-order discrepancies impacting production, order completion, or financial reporting.
  • Support appropriate ERP transactions and inventory adjustments to maintain accurate records.
  • Serve as a key liaison between Sales, Engineering, Operations, Production, Inventory/Purchasing, and Finance.
  • Report daily bookings and order activity during SQDC meetings.
  • Lead production prioritization meetings and communicate changes in priorities, customer requirements, material availability, and schedule risks.
  • Escalate issues that may impact customer delivery, production performance, inventory accuracy, or financial reporting.
  • Maintain accurate order, scheduling, production, and purchase-order receipt information in the ERP system.
  • Provide backup support for outbound freight coordination.
  • Provide cross-functional support for customer setup, inventory, scheduling, shipping, invoicing, and purchasing as needed.
