About The Position

Thermal Dynamics is hiring an Order Entry & Customer Service Coordinator to keep orders moving accurately from sale to shipment. You'll turn approved quotes into sales orders, issue purchase orders to vendors, prepare shipping paperwork, and keep customers and our sales team updated. You'll also be a key part of our front office, supporting phones, walk-ins, and day-to-day administration. Accuracy matters more than speed in this role, and you'll have good systems to work with.

Requirements

2+ years of experience in order entry, purchasing, customer service, or office administration
High attention to detail and comfort double-checking your own work
Strong computer skills and the ability to learn new software quickly
Clear, professional communication by phone and email
Able to manage several open orders at once and follow through without reminders

Nice To Haves

Background in industrial distribution, manufacturing, or a parts or equipment business
Familiarity with shipping and freight (UPS, LTL)
Bilingual English/Spanish

Responsibilities

Enter sales orders and update sales orders as needed
Issue purchase orders to vendors and follow up on confirmations, lead times, and backorders
Prepare packing slips and shipping documents, and coordinate outbound and inbound freight
Work daily from CRM work queues: new and open sales orders, approved quotes without orders, and aging POs
Keep customers informed about order status, delivery dates, and changes
Support outside and inside sales with order details, documentation, and follow-up
Help with service intake and customer records
Cover front-office phones and walk-in customers, and assist with general office administration
