About The Position

This is a part-time position providing overall administrative and logistical support to the Regulatory Licensing Manager and the Regulatory Licensing Section personnel. The role involves assisting with data entry of incoming applications, managing incoming telephone calls and directing them appropriately, greeting customers and office personnel, generating correspondences, organizing office supplies and files, and processing mail. The analyst will also assist the Regulatory Licensing Manager with investigatory reports and complaints, and provide basic information to citizens and certified individuals regarding Florida Statutes and Florida Administrative Code Rules.

Requirements

  • High School Diploma or equivalent is required.
  • One (1) year of clerical experience.
  • One (1) year of data entry experience.
  • One (1) year of experience using Microsoft Office Suite (Word, Excel, Outlook).
  • Knowledgeable in telephone systems and telephone etiquette.
  • Knowledgeable in Microsoft Office Suite.
  • Knowledgeable in data entry.
  • Organization skills.
  • Ability to compile reports both electronically and manually.
  • Ability to identify confidential information.
  • Ability to establish and maintain effective working relationships.
  • Ability to communicate effectively.
  • Ability to prioritize and meet timelines.
  • Ability to learn and utilize computer software and databases.
  • Requires a security background check, including fingerprint as a condition of employment.

  • One (1) year of experience answering and directing telephone calls.

Responsibilities

  • Provide overall administrative and logistical administrative support to the Regulatory Licensing Manager and the Regulatory Licensing Section personnel.
  • Assist with data entry of incoming applications.
  • Receive incoming telephone calls on multi-line communications system and direct telephone calls to appropriate personnel.
  • Greet walk-in customers and office personnel.
  • Generate correspondences, emails, invoices, and certificates.
  • Organize office supplies and file cabinets.
  • Receive, open, date stamp, and distribute incoming mail.
  • Assist the Regulatory Licensing Manager with incoming and open investigatory reports.
  • Assist the Regulatory Licensing Manager with organizing and processing complaints.
  • Assist citizens and certified individuals with applicable Florida Statutes and Florida Administrative Code Rules by providing basic information and routing appropriate calls to appropriate personnel.
  • Perform other duties as assigned.
