The Operations Assistant - Training (535 AS) will support the PACAF Aviation Squadron Administrative Support for the US Air Force. Requirements

Nice To Haves

  • Possesses a Top Secret clearance.
  • Experience working with PEX/GTIMS or similar proprietary scheduling program is highly desirable.
  • Experience working in a Flying Squadron/Group/Wing Stan/Eval office is highly desirable.

Responsibilities

  • Keep track of crew members' leave, temporary duty, scheduled medical appointments, or other scheduling commitments.
  • Track daily flight/ground/academic training requirements and accomplishments to facilitate accurate flight scheduling.
  • Create and track Requalification plans, Waiver and Extension memorandums.
  • Maintain Training Folders for Aircrew on C17 Training Management System (TMS) and Non-Aircrew on various databases based on AFSC.
  • Track, Update, and Process Aircrew Qualification and upgrades.
  • Manage Total Force Ancillar/Awareness Training (TFAT) requirements for all members.
  • Assist the DO (Director of Operations) in building the unit Annual Flying Hour Program.
  • Assist the RA (Resource Advisor) in managing the FY budgets allocation for formal training.
  • Forecast Fiscal Year Formal Training Allocations for all aircrew development courses with AETC Aircrew Training Quota Manager.
  • Coordinate with training officer to review and update student/permanent party records, folders, and grade books per applicable AFIs and supplements.
  • Notify crew members, scheduling, and unit leadership of upcoming and overdue testing, evaluation, and training requirements.
  • Attend Certification Boards Training representative to certify Aircraft Commanders, Instructor/Evaluator Pilots & Loadmasters.
  • Review Altus checklist for Instructor Loadmaster, Instructor Aircraft Commander, Pilot Check Out formal training courses.
  • Coordinate with Aircrew Training Quota at AETC for name submissions to formal training slots.
  • Process Formal Training Notification Rips and coordinate with Formal Training Base Manager.
  • Perform testing administrator duties/functions for the unit.
  • Plan and coordinate monthly unit Training Day agenda.
  • Build monthly Training Review Panel (TRP) slides, attend meetings, and produce TRP minutes.
  • Conduct monthly reviews of aircrews entering the first month of evaluation eligibility period.
  • Generate and process Aircraft Assignment/Aircrew Qualification Worksheets AF Form 4324.
  • Monitor and Review daily Crew Flight (FAs) Authorizations AF Form 4327a.
  • Attend Squadron Indoctrination for new incoming aircrew, brief Training flight processes, requirements IAW (AFMAN 11-2C-17v1) and checklists for SARM.
  • Manage five AFSC training, generate monthly On the Job Training (OJT) roster and Training Performance Metrics (TPM) for Unit Commander and Base Training Manager review.
  • Process AF Form 2096 for skill level upgrades and Training Status Code changes for aircrew and non-aircrew.
  • Manage and Track Non-Mission Ready (NMR) items and tasks.
  • Management Internal Control Toolkit (MICT) Questions Accessor for Training Program.
  • Perform other duties as needed.
  • Build long- and short-range flight schedules to ensure full coverage of all aircrew, instructor, evaluator, support personnel, and supervisor positions.
  • Coordinate with senior squadron leadership on a daily and weekly basis.
  • De-conflict crewmember schedules and work with flight leadership to ensure crews are available to meet assigned sortie taskings.
  • Facilitate last-minute schedule changes to ensure full coverage by working with the current mission commander/operations supervisor (or equivalent) and flight responsible for the shift that is not fully manned.
  • Obtain aircraft and equipment availability data from MX and schedule crewmembers for training, exercises, simulators, and operations, as required.
  • Publish/post scheduling data for unit long-/short-range ground/academic, flying, and simulator training event schedules on PEX/GTIMS/GDSS II, or other computer database systems.
  • Determine flight, ground, and simulator schedule requirements for upgrade, initial qualification, requalification, transition, currency, and continuation training based on syllabus requirements, student progression, weather, and daily equipment/training range availability.
  • Perform daily updates of scheduling data to compensate for changing conditions and training completion rates.
  • Update and maintain FLIP/EFB procedures, systems, and databases IAW prevailing AFIs governing EFB usage (ex. ACCI 11-270).
  • Identify, address, and elevate, as necessary, EFB requirements and concerns to leadership and the MAJCOM EFB Program Manager.
  • Serve as the Wing EFB system administrator, ensuring devices are configured, issued, tracked, updated, and maintained as required.
  • May also serve as the Wing EFB Mobile Device Management (MDM) administrator.
  • Assist the Technical Order Distribution Officers (TODO) to provide aircrews with current electronic flight publications and guidance on approved methods to keep all required publications up to date on the EFB.
  • Provide the MAJCOM EFB Program Manager with feedback on operational assessments and development of EFB solutions.
  • Assist with establishing an EFB Program Manager organizational email box.
  • Assist enforcement of standardization and evaluation policy applicable to the EFB program, including currency of required flight publications.
