About The Position

This Operations Supervisor oversees daily intake, sorting, prep, scanning, and quality document processing operations, ensuring that production KPIs and service-level requirements are met. This role supervises Team Lead and Scan Clerks I, II, and III, as well as post-mailroom processes, and will serve as the first point of escalation. Critical to the role is supporting operational efficiency through coaching, reporting, and continuous improvement.

Requirements

  • High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience.
  • Prior supervisory experience.
  • Lift or move up to 50 pounds.
  • Ability to read and write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Observes safety and security procedures; Reports potentially unsafe conditions; Uses equipment and materials properly, Wear PPE and follow all safety directives. (Report any safety hazards to supervisor.)
  • Basic skills with Microsoft Office, including Microsoft Word, Microsoft Excel, and Microsoft Outlook; proficient with computers.
  • Ability to manage simple to complex employee concerns with little to no support; Able to identify potential problems with performance or behavior and professionally address these concerns with the employee; Able to pass escalated issues to HR or upper management for resolution.

Responsibilities

  • Monitor daily document workflow systems (e.g., Captiva, PCS, Source BI, etc.) to identify bottlenecks.
  • Maintain comprehensive and accurate documentation, SOPs, reports, and productivity logs.
  • Train new hires and coach team members to improve accuracy and productivity.
  • Partner with internal clients and functional teams when troubleshooting operational issues.
  • Address root causes of errors and partner with IT and other functional teams for system fixes (e.g., Jira tickets).
  • Assign work, balance workloads, confirm attendance, and adjust staffing as needed.
  • Conduct shift handovers to ensure smooth operational transitions.
  • Pick up, track, and scan incoming documents, including confidential materials and checks.
  • Resolve scanning issues such as rescans, document rejections, and workflow errors.
  • Serve as the primary escalation point for clerks and operational issues.
  • Track individual and team KPIs and provide daily performance feedback.
  • Ensure compliance with company policies, procedures, and data security standards.
  • Communicate operational risks, updates, and needs to management.
  • Conduct monthly one-on-one coaching sessions and complete formal performance evaluations for direct reports, as directed.
  • Support payroll review and assist with scheduling adjustments to ensure proper staffing coverage.
  • Identify and recommend cost-saving opportunities and efficiency improvements within scanning operations.
