Under the administrative direction of the Customer Operations Supervisor, the Operations Specialist provides support to Tosoh Bioscience, Inc.’s internal and external customers by coordinating the storage, handling, and movement of goods. This role ensures compliance with regulatory requirements, maintains accurate documentation, and delivers exceptional customer service. The Operations Specialist leverages in-depth knowledge of company products to process customer inquiries and orders, manage customer files, and facilitate efficient operational workflows.

Requirements

  • High school diploma or equivalent required
  • Fluent in Spanish both verbally and written
  • General knowledge of Import for Export processes
  • Commitment to quality, accuracy, and service.
  • Basic computer skills and demonstrated experience with Microsoft Office software and email applications.
  • Working knowledge of life science, medical, and pharmacy related products.
  • Ability to interact in a highly professional and effective manner with customers and coworkers from all areas of Tosoh Bioscience, Inc.
  • Highly effective problem solving, communication, organizational, and time management skills.
  • Basic mathematic skills including adding, subtracting, multiplying, and dividing whole numbers, fractions, and decimals
  • Effective interpersonal and communication skills
  • Ability to use hands and arms in handling, installing, positioning, and moving materials, and manipulating objects and materials.
  • Ability to stand, walk, stoop, kneel, and crouch for extended periods of time
  • The ability to lift, move, and handle products and packages weighing up to 25 pounds on a regular basis and approximately 50 pounds on an occasional basis.
  • The ability to climb stairs and ladders throughout the day
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Responsibilities

  • Collaborate with the Inventory Planner to monitor stock levels and to optimize inventory to prevent shortages or overstocking.
  • Enter purchase orders to various suppliers, help maintain records and build and maintain strong relationships with suppliers
  • Receive, inspect, and verify incoming products.
  • Stock inventory items.
  • Inspect, rotate, and verify inventory levels.
  • Conduct weekly cycle counts.
  • Conduct annual physical inventory count.
  • Complete receiving paperwork.
  • Partner with the Logistics Coordinator to manage shipping schedules, pick and pack instrument orders, and select cost-effective carriers for timely delivery.
  • Pick, pack and ship duties under the directions of the Warehouse Team Lead
  • Assist with Import for Export (IFE) while maintaining proper records
  • Assist with the inbound receiving process
  • Receive and process customer inquiries and orders
  • Answer customer inquiries concerning product availability, price, shipping, returns or other topics.
  • Enter customer orders received via phone, fax, or electronically into MAS500, Sage, Salesforce, and EDI.
  • Resolve customer complaints, process special orders, and process customer returns.
  • Process customer requests for Certificates of Analysis or Material Safety Data Sheets.
  • Follow up with customers and suppliers concerning order status or other inquiries.
  • Generate Warehouse Pick Lists, and Other Reports.
  • Check orders for accuracy.
  • Process customer credit card payments.
  • Provide cross-functional support within the Supply Chain department as needed.
  • Maintain both electronic and paper customer records according to established procedures.
  • Receive, file and maintain MSDS, Certificate of Analysis files for products, and other documents as required.
