About The Position

This position provides administrative support to the U.S. Army Redstone Test Center’s (RTC’s) Aviation Flight Test Directorate (AFTD), Attack & Unmanned Aerial Systems Test Division. The role involves managing organizational calendars, handling communications, assisting with timekeeping and training tracking, preparing correspondence, and processing purchase requests and work orders. Additionally, the specialist will manage employee in- and out-processing, track labor utilization, monitor employee training and certifications using specific software (CertTRAX), provide metrics on contract labor, assist with labor hour submissions, and support material purchase requests and invoicing. On-site support for Human Resources and the Medical Surveillance Program is also a key responsibility.

Requirements

  • High school diploma or equivalent.
  • Minimum of two years’ experience providing administrative support.
  • Experience conducting research.
  • Experience preparing statistical reports.
  • Experience handling information requests.
  • Experience performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
  • Ability to obtain and maintain a DoD Secret or higher security clearance.
  • U.S. Citizenship is required.
  • Satisfactory background screening.
  • Negative drug test.
  • Positive references.
  • Proof of identity and legal authorization to work in the United States.

Nice To Haves

  • Prior military organization employment (military or civilian) with understanding of military headquarters staff organization, roles, and relationships.
  • Executive-level or senior manager-level administrative support experience.
  • Professional user of Microsoft’s Office suite of software and applications (Outlook, Word, Excel, PowerPoint, Visio).
  • Professional user of SharePoint.

Responsibilities

  • Manage organizational calendars in Microsoft Outlook and other digital means.
  • Receive and route incoming communications, including telephone calls, e-mail messages, and postal mail.
  • Assist in managing timekeeping records for Government employees in ATAAPS.
  • Track mandatory training using ATTEC Training Tracker Module (ATTM).
  • Prepare and edit correspondence in accordance with Army Regulation 25-50.
  • Prepare purchase requests.
  • Submit and track work orders.
  • Perform on-site employee in- and out-processing, coordinating with Human Resources and leadership.
  • Manage labor utilization tracking accounts in the cloud-based Tracker application.
  • Use CertTRAX to track and monitor employee specialized training, qualifications, certifications, expirations, clothing allowances, PPE, and Medical Surveillance Program requirements.
  • Provide metrics to the Program Manager on contract labor requirements, RFH status, and contract retention.
  • Assist the Program Analyst in collecting labor hours for submission to RTC's CIMS.
  • Assist the Program Analyst and Purchaser with material purchase requests, MPR expense reports, and invoicing.
  • Provide on-site support and liaison with Human Resources staff for the Medical Surveillance Program.
