About The Position

Reporting directly to Operations Supervisor, responsible for performing daily inventory tasks including assembly, transporting and upkeep of voting machines and supplies. This role involves tracking supplies, voting machines and equipment, preparing voting systems for use, completing assembly on voting machines, supply kits, and storage units, and distributing them to various polling locations. The position also includes data entry for work orders, scheduling maintenance, developing and maintaining operational routines and procedures for equipment, ordering and receiving materials, providing technical support and troubleshooting, implementing security measures for ballots and voting systems, asset management, compiling reports, serving as a primary contact for the election Judge’s hotline, monitoring departmental email accounts, and attending meetings and trainings.

Requirements

  • High school diploma or equivalent
  • Three (3) years of warehouse/inventory control experience
  • Knowledge of Microsoft Office Suite
  • Knowledge of database programs
  • Valid Texas driver’s license (Required within thirty (30) days of employment)
  • Forklift Operator Certification (Required within thirty (30) days of employment)

Nice To Haves

  • Associate degree in a related field
  • Two (2) years of warehouse experience in an elections or public sector department capacity
  • Registered Elections Official (REO) Certification within two (2) years of employment
  • Certified Elections/Registration Administrator Certification (CERA) within five (5) years of employment

Responsibilities

  • Performs inventory control by tracking supplies, voting machines and equipment
  • Assists in preparing voting system for use prior to each election by loading election data into voting system units
  • Completes assembly on voting machines, supply kits, and storage units
  • Assists with preparing supply kits and distributes them to various polling locations
  • Performs data entry for work orders and schedules preventative and routine maintenance as needed
  • Develops and maintains operational routines and procedures for equipment, including organizing, storing, and arranging inventory for daily use
  • Reviews, collects, transcribes, and processes paperwork and prepares documents for electronic use
  • Orders, purchases, receives, and unpacks materials, supplies, parts tools, and equipment essential for elections operations
  • Provides technical support and troubleshooting assistance of various machines and equipment
  • Aids in implementing security measures to protect confidential storage of ballots and voting systems
  • Assist with asset management by creating and maintaining inventory logs for machines and equipment
  • Compiles and retains daily, monthly, and annual reports related to inventory and warehouse functions
  • Serves as a primary contact for the election Judge’s hotline and assists with complex issues from elections judges and staff
  • Monitors multiple departmental email accounts related to elections operations
  • Attends all meetings and trainings, as required
  • Performs special duties as assigned
