About The Position

The Operating and Reporting Specialist serves as the central hub for clinical coordination within the Divisions of Rheumatology and Nephrology. This critical administrative role is responsible for the expert management of QGenda, ensuring that physician and Advanced Practice Provider (APP) on-call schedules, paging integrations, and clinic templates are accurate, compliant, and seamlessly integrated. By providing sophisticated data analysis, this role ensures provider equity and operational continuity across inpatient, outpatient, and consult services. This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location. This is a terminal, 24-month appointment with the possibility of extension or conversion to an ongoing appointment based on need and/or funding. This position will be 50% in Rheumatology and 50% in Nephrology with aligning job responsibilities.

Requirements

  • Professional level experience with Microsoft Suite (Excel, Word, Outlook, Teams)
  • Minimum of one year professional experience in medical administration or a related field
  • Strong organizational and time-management skills with the ability to prioritize multiple tasks and meet deadlines
  • Demonstrated ability to manage complex or high-visibility projects with minimal supervision
  • Ability to work independently, exercise sound judgment, and maintain confidentiality
  • Commitment to process improvement and operational efficiency
  • Eligibility to work in the United States without employer sponsorship

Nice To Haves

  • Demonstrated experience providing administrative support in a complex, fast-paced office environment.
  • Experience coordinating projects and/or managing project workflows.
  • Excellent written and verbal communication skills, including the ability to interact professionally with diverse stakeholders.

Responsibilities

  • Assists, recommends, and advises staff on unit or program administrative issues, personnel matters, and budgetary problems
  • Serves on committees and attends meetings, representing the interests of the unit or program
  • Implements and executes established policies and procedures for a designated work unit to adhere to unit objectives and to align with established strategies
  • Schedules logistics and secures resources for a designated work unit to contribute to the day-to-day operational success
  • Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s)
