About The Position

The Operations Project Coordinator supports Project Managers in the day-to-day administration and successful completion of mechanical construction projects at Pueblo Mechanical, a Modigent company. This role requires a highly organized, self-motivated professional with strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Requirements

  • Minimum 3 years of experience in project coordination or administration, preferably in commercial mechanical or construction environments.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with proven ability to multi-task and follow up both internally and externally.
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Professional appearance and demeanor.
  • Self-motivated, punctual, and dependable.
  • Familiarity with construction documents (submittals, RFIs, change orders, O&Ms) strongly preferred.
  • Experience with Davis-Bacon compliance and certified payroll a plus.

Responsibilities

  • Coordinate Davis-Bacon paperwork and requirements with Payroll, Subcontractors, and General Contractors.
  • Submit and coordinate job-site badging and access; maintain an accurate log.
  • Manage Plans and Specifications document control and distribution.
  • Build project-specific Submittal Registers based on contract specifications.
  • Collaborate with Project Managers to prioritize and filter required submittals.
  • Request, coordinate, log, and track submittals and resubmittals from suppliers and subcontractors.
  • Log and track equipment delivery and status for assigned projects.
  • Compile and organize closeout documents including As-Builts, Start-Up Reports, O&M manuals, warranties, and owner training materials.
  • Update project documentation to ensure real-time, accurate communication between office and field teams.
  • Ensure monthly project forecasts are completed and submitted per contract requirements.
  • Assist in tracking short- and long-term manpower projections.
  • Verify project billings are processed in accordance with contractual terms.
  • Enter awarded project budgets from Estimating into the accounting software.
  • Confirm all company policies and contractual standards are met prior to work commencement.
  • Perform additional duties as assigned by the Project Executive or Project Managers.
