Operations Manager

Mighty Fine Apps LLC•Oakland, CA
•$110,000 - $135,000•Onsite

About The Position

Mighty Fine Apps is hiring a full-time Operations Manager to run the business side of its small, profitable, customer-funded company. The role works directly with the Founder & CEO on Live Transcribe, a live-captioning app for people who are d/Deaf and hard of hearing. The position is in person in Oakland, California, and is a W-2 employee role. Compensation is $110,000 to $135,000 annually, depending on experience, plus benefits. The role may grow into Chief of Staff or senior operations scope as the employee creates capacity and takes on responsibility. The Operations Manager will own finance and company administration, hiring and onboarding operations, vendor and legal coordination, priorities and follow-through, systems and documentation, and founder support and research. They will coordinate external finance professionals, manage invoices and deadlines, run hiring processes with a recruiter, maintain contracts and subscriptions, organize the company's meeting and goal-tracking cadence, and ensure commitments have owners and dates. They will personally understand routine work before simplifying or automating it, build practical AI workflows, and create usable checklists and documentation. The role also includes calendar management, meeting preparation, occasional personal logistics, and researching operational needs through to a recommendation and completed solution. Success is expected to include taking ownership of finance, hiring, and vendor administration within 60 days; enabling most routine operations to run without the founder's involvement by 90 days; and leading cross-team projects while developing toward broader Chief of Staff or senior operations responsibilities within 12 months. Applicants must submit a Loom video of five minutes or less demonstrating an automation they personally built and used; applications without a Loom link will not be reviewed.

Requirements

  • At least 4 years of operations experience at a startup or small company.
  • Ability to juggle multiple moving pieces and take responsibility for loose ends through completion.
  • Good judgment in prioritizing work, protecting the founder's time, pushing back on low-value work, and knowing when to decide or ask for input.
  • Daily use of AI tools and personal experience building at least one automation that replaced recurring manual work.
  • Ability to create and maintain lightweight workflows, skills, or agents.
  • Resourcefulness in researching unfamiliar needs, comparing options, learning tools, and working across different parts of a business.
  • Willingness to handle routine administration personally and improve processes while doing so.
  • Ability to write clear processes that others can understand and use.
  • Careful handling of financial, contractual, and personnel matters, with respect for confidentiality.
  • Submit a Loom video of five minutes or less showing an automation personally built and used; the video link must open without a login.
