About The Position

The Golden Gate National Parks Conservancy (Parks Conservancy) is a nonprofit partner of the National Park Service, supporting the Golden Gate National Recreation Area (GGNRA). The Park Projects and Design department, within the Park Projects and Conservation Branch, provides planning, project management, and implementation expertise for a variety of projects, including those focused on community design, forest resilience, and sea level rise adaptation. This Operations Manager position primarily supports the Park Projects and Design department with contract management, financial administration, and administrative, partnership, and project support. The role also supports the One Tam Partnership with operations and administrative tasks. The ideal candidate is a clear communicator, competent with financial worksheets, eager to build efficient operations, flexible, and takes initiative. This position is based in San Francisco, with expected travel to a San Rafael office and park sites several times per month. The role is a full-time, exempt position working 40 hours per week.

Requirements

  • Ability to complete tasks on time with attention to detail, accuracy, and thoroughness.

  • Proficiency in computer programs including MS Office, especially MS Excel.
  • Ability to learn new applications quickly, such as software for entering invoices and tracking budgets.

  • 3-5 years of experience in operations and team administration, with demonstrated experience and interest in financial administration.
  • A DMV record check to be cleared to drive company vehicles is required.
  • Ability to work "off hours" including some weekend and evening meetings and events.

Responsibilities

  • Supports Project Managers with contract management and financial administration, including coding, tracking, and submitting invoices, and developing knowledge of grant funding and contract tracking.
  • Provides administrative, partnership, and project support, including managing scheduling, meeting preparation, purchasing, payments, reconciliation, and reporting.
  • Serves as a liaison to Safety and Facilities departments, maintaining safety documents, emergency action plans, and first aid supplies, and supporting safety-related trainings and protocols.
  • Acts as a liaison with IT and SharePoint administrators, assisting with software upgrades, hardware distribution, and IT needs for the department.
  • Liaises with Communications and Marketing teams, managing department web pages, updating content, and supporting the creation of new communications materials.
  • Participates in the Operations Managers working group to share resources and address shared needs across departments, staying updated on organizational operational policies.
  • Coordinates hiring processes for new team staff, including scheduling, processing applications, creating evaluation tools, and facilitating team conversations, with a focus on equity and access.
  • Supports managers with onboarding and training of new hires and ongoing professional development for interns and staff, and assists with planning team trainings and retreats.
  • Oversees operations of the San Rafael office for the Parks Conservancy, coordinating building access, orientation, safety training, and building communication.
  • Supports the Director in tracking the Park Projects and Design department budget.
  • Provides strategic, operational, and administrative capacity to support the One Tam Initiative, including developing communication tools, managing meeting calendars, tracking deadlines, and leading planning for staff events.
  • Supports coordination and communications across multiple One Tam project and program teams, tracking updates and deliverables for staff and partner agencies.
