About The Position

Anvil is seeking an Operations & Executive Coordinator to provide key support to its senior leadership team, including the CEO, CFO, and COO, as well as the marketing function. This role will work closely with the COO to manage priorities and will be instrumental in keeping Anvil running effectively. Responsibilities include supporting the office environment, coordinating executive schedules and travel, assisting with government visits, and aiding with marketing research and content coordination. The position offers visibility into the business from day one and serves as a potential launchpad into a career in the Canadian defence sector, with opportunities for growth into operations, executive support, marketing, or other areas based on demonstrated ability.

Requirements

  • Eligible to obtain and maintain a Canadian Government Security Clearance to the Top Secret level.
  • Exceptional organizational skills: you are the person who never loses track of things and never drops a ball
  • Strong written communication: you can draft a clear email, clean up a slide, and proof a document without being asked twice
  • High discretion: you will be exposed to sensitive information about the company, its clients, and its leadership
  • A proactive approach: you take initiative on routine tasks and flag what needs attention
  • Adaptable and organized: you manage a varied workload and adjust as priorities are set
  • Genuine interest in the defence and national security sector: you do not need previous professional experience in the sector, but you need to demonstrably care about the mission
  • An undergraduate degree: or other professional evidence of strong written and verbal communication and organizational skills

Responsibilities

  • Manage the day-to-day office environment: visitor reception, supplies, equipment ordering, mail and courier handling
  • Coordinate meeting room bookings and AV setup; troubleshoot first-line issues before they become problems
  • Coordinate health and safety basics (first aid, fire warden coordination, JHSC administration)
  • Help plan and run office events: all-hands, team socials, offsites, customer and partner receptions
  • Support office planning as headcount scales (desk allocation, capacity tracking, office moves)
  • Coordinate travel logistics for executives and visiting leadership: flights, hotels, ground transport, conference registrations
  • Compile expense reports and manage related documentation
  • Prepare meeting packs, agendas, and minutes; track action items and follow up
  • Help coordinate investor, customer, and government visits
  • Handle document formatting, slide cleanup, and proofreading
  • Monitor and flag relevant media coverage, industry news, and competitor activity
  • Conduct market research as directed
  • Coordinate logistics and event management
  • Support social media with graphics coordination and copy assistance
  • Proof documents and collateral before distribution
