About The Position

Eka Robotics is looking for an Operations & Executive Coordinator to serve as the operational backbone of the company. This role combines high-level executive support with hands-on office operations. The successful candidate will be the primary point of contact for the leadership team’s logistics and will ensure the physical office and administrative systems run smoothly. This position requires a professional demeanor, meticulous attention to detail, and a willingness to handle any task, regardless of size.

Requirements

  • 3-5+ years of experience in an EA, Office Manager, or Operations Coordinator role, preferably in a high-growth startup, venture capital, or professional services environment.
  • Exceptional verbal and written communication skills with the ability to interface with senior external stakeholders and investors.
  • Mastery of logistics and ability to juggle competing priorities without missing details.
  • Proficiency with modern productivity tools (Google Workspace, Slack, Zoom) and administrative platforms (Dropbox Sign, Rippling, or similar).
  • Proven ability to handle sensitive information and high-pressure scheduling with calm and confidentiality.
  • Proactive approach to identifying and resolving issues.
  • Bachelor’s degree from an accredited institution.

Responsibilities

  • Serve as strategic support for leadership, managing complex calendars and prioritizing time-sensitive requests.
  • Coordinate travel and handle detailed expense reporting for leadership.
  • Streamline Accounts Payable & Receivable workflows, including vendor onboarding and expense reconciliation.
  • Coordinate the execution of legal and corporate documents using digital signature platforms.
  • Manage the day-to-day operations of the workspace, including relationships with building management and service providers.
  • Oversee the intake and outbound logistics for the company's hardware, including shipping, receiving, and customs documentation.
  • Manage the office experience, including stocking supplies and planning team social events and offsites.
  • Act as the primary contact for administrative issues to ensure the engineering team can focus on technical tasks.
