About The Position

The Operations Executive Assistant will provide high-level administrative support to the QC Manager, VP of Operations, Purchasing Manager, and CEO.

Requirements

  • Proficient with Microsoft Office Suite or related software.

Responsibilities

  • Provide high-level administrative support and assistance to the assigned leadership staff.
  • Screen emails and schedule appointments for assigned staff.
  • Match invoices and packing slips to PO's.
  • Research miscellaneous items to get 2-3 prices before purchasing.
  • Scan contracting invoices and move to the correct folder on the server once they have been reconciled.
  • Daily receiving log email.
  • Ensures the QC office is clean and conducive to productivity with paperwork filed in a timely manner.
  • Prepare and record data for the Production Huddle, Quality Committee meeting, and QC L-10 meeting each week. Schedule lunch for these meetings as needed.
  • Key Customer Complaints into 90io and save them to the designated area on the server.
  • Review the Quality Control Catches in the Quality Tracker weekly for any redundant mistakes and notify the QC Manager of repeated mistakes.
  • Follow up on all Quality Alerts to ensure there is a cost associated with the alert and enter it on the tracker.
  • Investigate all Repours and ensure all proper procedures are performed. Ask the following questions and create procedures if needed: What caused this repour to occur? What could have been done differently to prevent this repour? Were all appropriate parties made aware of the repour? Any training recommendations to prevent recurrence?
  • Perform self-audits to ensure we remain in compliance with all NPCA regulations.
  • Complete and maintain all documentation as required by all State Departments and Government Agencies (ex. EBR/LCG).
  • Audit production checklists for completion and report concerns to Quality Control Manager and Operations.
  • Action Quality Control Team for any Certification Compliance items due each month (calibrations etc.) from all certifying bodies.
