About The Position

The Operations Coordinator is responsible for supporting the day-to-day activities of the Operations organization by coordinating projects, tracking action items, maintaining compliance records, preparing reports, and facilitating communication between departments. This position serves as a central point of coordination for operational initiatives and provides direct support to the VP of Operations & EHS. The Operations Coordinator plays a key role in ensuring projects remain on schedule, compliance obligations are met, operational records are maintained, and communication flows effectively between departments.

Requirements

  • Associate degree preferred; equivalent work experience considered.
  • Three (3) or more years of experience in operations, logistics, compliance, project coordination, administrative support, or a related field preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • High level of proficiency in Microsoft Excel, Word, PowerPoint, Outlook, and other standard office software.
  • Ability to effectively manage and prioritize multiple projects simultaneously.
  • Strong analytical and problem-solving skills.
  • Ability to maintain accurate records and documentation.
  • Ability to work independently with minimal supervision.
  • Ability to communicate effectively with all levels of the organization.
  • Strong attention to detail and follow-through.
  • Ability to maintain confidentiality and handle sensitive information.
  • Ability to build effective working relationships across multiple departments.
  • Experience with compliance reporting, audits, and recordkeeping preferred.
  • Must be dependable and have reliable transportation.
  • Must be able to pass a background check and drug screen.

Responsibilities

  • Coordinate operational projects and departmental initiatives.
  • Track action items, assignments, and project milestones.
  • Prepare meeting agendas, minutes, and follow-up communications.
  • Maintain operational reports, dashboards, and KPI tracking tools.
  • Assist with development and maintenance of Standard Operating Procedures (SOPs).
  • Support continuous improvement initiatives across departments.
  • Coordinate communication and follow-up between departments.
  • Maintain employee training records and certifications.
  • Track safety-related corrective actions and follow-up items.
  • Assist with OSHA documentation and recordkeeping.
  • Maintain Safety Data Sheets (SDS) and compliance records.
  • Support incident investigations and documentation.
  • Assist with audit and inspection preparation.
  • Maintain regulatory permits and compliance calendars.
  • Track reporting deadlines and renewal requirements.
  • Coordinate documentation requests from regulatory agencies.
  • Maintain environmental, safety, and compliance records.
  • Assist with internal and external compliance audits.
  • Maintain driver qualification files.
  • Track CDL, medical card, and certification expirations.
  • Support FMCSA Clearinghouse compliance requirements.
  • Maintain vehicle registrations, permits, and insurance records.
  • Track preventative maintenance schedules and inspection requirements.
  • Assist with CHP, DOT, and BIT inspection preparation.
  • Assist with logistics reporting and shipment documentation.
  • Support communication between Logistics and operational departments.
  • Assist with inventory reconciliation and discrepancy tracking.
  • Maintain operational records and documentation.
  • Track production, warehouse, assembly, and field operation initiatives.
  • Coordinate project schedules, resources, and follow-up activities.
  • Support process improvement and standardization efforts.
