About The Position

The Wyoming Outdoor Council is seeking an Operations Coordinator to join their operations team and support the organization's conservation and fundraising efforts. This role involves working closely with the office manager and finance and operations director to manage campus operations, financial tasks, and general support functions. The ideal candidate is a collaborative, self-driven individual with strong organizational skills, a positive attitude, and experience with databases and standard office technology. Requirements

Responsibilities

  • Troubleshoot and resolve campus-related issues, independently or with outside support.
  • Serve as point person for all campus needs for staff.
  • Responsible for general campus organization and cleanliness, including trash removal and recycling.
  • Maintain kitchen, meeting rooms, copy room, and garage organization and cleanliness.
  • Maintain exterior grounds, involving landscapers in the summer and snow and ice removal in the winter (using snow shovel and electric snow blower).
  • Coordinate with contracted cleaners, landscapers, and other vendors.
  • Manage vehicle usage, cleanliness, repairs, maintenance, and registrations.
  • Monitor use of the EV charging station.
  • Manage the use of the Outdoor Council’s publicly-shared meeting space, including setup, online booking, and communication with users.
  • Manage recycling bin rental program.
  • Maintain campus security and manage door code and key assignments.
  • Responsible for opening and closing the office.
  • Responsible for daily donation entry into the Outdoor Council’s database.
  • Maintain clear lines of communication with the development team regarding donations and thank you letters.
  • Coordinate with the office manager to process staff monthly expense reports.
  • Ensure bank deposits are made at least weekly.
  • Support monthly donation database reconciliation processes.
  • Maintain current merchandise inventory.
  • Assist with bookkeeping, daily financial processes, and audit preparation as needed.
  • Support office manager with filing and accounts payable.
  • Greet incoming visitors and ensure their needs are met.
  • Process incoming mail and packages.
  • Monitor and address needs in the Outdoor Council’s organizational email.
  • Support office manager with internal event logistics, including annual staff retreat, and other staff with external event logistics as needed.
  • Responsible for maintaining approved levels of snacks and office supplies.
  • Support onboarding and offboarding of staff and board.
  • Assist with data entry projects as needed.
  • Assist with regularly scheduled publication mailings as needed.
  • Serve as back-up for Technology and Systems Coordinator in setting up technology for internal meetings.
  • Support the work of equity and belonging at WOC.
  • Attend and participate in annual staff retreat and in-person staff days.
  • Other duties as assigned.
