About The Position

The Operations Coordinator will be responsible for a variety of tasks related to building operations and security. This role involves responding to employee inquiries, delegating tasks, managing equipment, coordinating emergency response teams, and handling administrative duties. The position requires strong organizational, communication, and technical skills, with a proficiency in Microsoft Office Suite. Bilingualism in English and French is essential.

Requirements

  • A DEC, DEP or AEC Diploma in Office Systems Management, Business Management or a related field.
  • Excellent organizational and time management skills.
  • Excellent interpersonal and customer service skills.
  • Ability to work as part of a team and independently.
  • Intermediate knowledge of Microsoft Excel and Word.
  • Ability to prioritize based on urgency and manage multiple tasks.
  • Excellent written and verbal skills in English and French.

Nice To Haves

  • Building operations and maintenance knowledge would be an asset.

Responsibilities

  • Respond to emails and calls from employees regarding the building and security and follow up with them once their request has been completed.
  • Delegate and assign tasks to members within the Building Operations and Security Department.
  • Manage equipment on-loan to employees and other companies.
  • Coordinate the fire response teams within Matrox.
  • Liaison between Matrox and outsourcing companies for evacuation procedures.
  • Write business communications on behalf of the department in both English and French.
  • Create and update forms and manuals.
  • Generate and tabulate spreadsheets.
  • Data entry and update databases.
  • Coordinate and schedule trainings to maintain specialty certifications such as First Aid and Forklift Certificates.
  • Oversee new employee safety procedures for emergency situations.
  • Overseeing ergonomics for employees with medical files and update ergonomic registries.
  • Maintain vehicle certifications and registrations.
  • Carry out general office tasks and administrative tasks related to building maintenance.
