This position serves as a key operational and coordination role for audit management, the Texas Medical Disclosure Panel (TMDP), facilities and asset coordination, rules and document routing processes, and data‑driven reporting. The role requires independent judgment, strong written and verbal communication skills, and the ability to manage multiple high‑visibility workstreams concurrently.

Requirements

  • Bachelor’s degree plus two years of relevant experience in program coordination, audit tracking, reporting, administrative operations, or project support. Experience may substitute for education on a year for year basis.

Nice To Haves

  • Experience preparing reports, coordinating meetings, tracking assignments or deadlines, and working with Excel, SharePoint, or similar tools preferred.
  • Experience with HHSC, Texas state government, or a regulatory environment preferred.

Responsibilities

  • Serves as the primary administrative and coordination liaison for the Texas Medical Disclosure Panel (TMDP), ensuring compliance with the Texas Open Meetings Act.
  • Prepares for and facilitates TMDP meetings, including agenda development, meeting materials, minutes, and post‑meeting follow‑up actions.
  • Manages the TMDP shared email inbox, voicemail, and public inquiries; drafts and routes responses as appropriate.
  • Maintains and updates the TMDP website and supporting documentation.
  • Coordinates with the Advisory Committee Coordination Office, TMDP leadership, and legal counsel on meeting logistics, member applications, and rule updates.
  • Coordinates and maintains division‑wide audit tracking and monitoring across multiple oversight entities.
  • Maintains the RS audit tracker and reconciles audit data across internal tracking tools and the ARCHER system.
  • Produces and distributes monthly audit status reports for executive leadership.
  • Coordinates audit documentation and supports entrance, exit, and status meetings.
  • Serves as a liaison supporting information flow and executive visibility.
  • Produces recurring and ad hoc executive support reports using Excel, SharePoint Lists, and Power BI.
  • Generates quality and performance reports and uses data to monitor and report on trends.
  • Provides project management and coordination support for division initiatives.
  • Monitors project timelines and identifies risks or issues.
  • Reviews and provides feedback on GRSP documents.
  • Coordinates with internal and external stakeholders.
  • Coordinating property inventory activity, as well as back-up for the routing and tracking of rules, support of disaster operations, document routing process and providing logistical support to division operations.
