About The Position

Soundview Landscape Irrigation is seeking a highly organized, proactive, and dependable Operations Coordinator to support their growing Irrigation and Outdoor Lighting company. This is a fully remote position supporting Seattle-area operations and serves as the central point of communication between clients, field crews, and leadership. The ideal candidate is self-motivated, thrives in a fast-paced environment, and doesn't wait to be told what needs to be done. This role involves managing daily operations, identifying opportunities to improve processes, and helping to build a more efficient organization.

Requirements

  • 3+ years of experience in administrative, office coordination, dispatching, scheduling, or customer service role.
  • Strong ability to multitask and prioritize in a fast-paced setting.
  • Exceptional communication and customer service skills.
  • Highly organized with strong attention to detail.
  • Comfortable managing multiple moving pieces simultaneously.
  • Self-starter who works effectively with minimal supervision.
  • Process-minded individual who enjoys creating structure and improving efficiency.
  • Proficiency with Microsoft Office, Google Workspace, and business software systems.

Nice To Haves

  • Experience supporting service-based industries such as landscaping, irrigation, construction, home services, HVAC, plumbing, electrical, or similar environments preferred.

Responsibilities

  • Serve as the primary point of contact for incoming customer calls and inquiries.
  • Manage high-volume phone and email communication with clients.
  • Schedule service appointments and coordinate technician calendars.
  • Dispatch crews and communicate schedule updates throughout the day.
  • Create, update, and maintain work orders.
  • Track project and service status to ensure timely completion.
  • Communicate proactively with customers regarding scheduling, delays, and service updates.
  • Support administrative functions including data entry, document management, and reporting.
  • Collaborate closely with field crews and leadership to ensure seamless operations.
  • Identify inefficiencies and help develop new processes, workflows, and best practices.
  • Maintain accurate records and ensure exceptional customer service at every touchpoint.
