About The Position

The Operations Coordinator plays a vital role in supporting the Dean of the Reuben Welch School of Theology and Christian Ministry by ensuring seamless daily operations and program coordination. This position is ideal for a highly organized, proactive professional who thrives in a collaborative, student-centered academic environment. You’ll be at the heart of driving efficiency, communication, and excellence across programs and initiatives.

Requirements

  • One or more years of administrative work experience.
  • Proficient in Google Workspace (Gmail, Calendar, Meet, Chat, Drive, Docs, Sheets, and Slides), Microsoft (Word, PowerPoint, and Excel), and Workday.
  • Ability to compose written materials using correct spelling, grammar, punctuation, syntax, and format.
  • Strong organization skills, dependability in follow-through, adaptability, and ability to take initiative, work independently, make decisions, handle stress, maintain confidentiality of information.
  • Competent multi-tasking skills required, including being able to maintain work flow despite frequent interruptions.
  • Excellent interpersonal skills to relate to students, faculty, staff, and campus partners (including but not limited to, parents, donors, and alumni), and other members of the public with an affable and flexible disposition.
  • Willingness to support and enthusiastically engage with people from diverse walks of life, including students, staff, faculty, and School community partners.
  • Evidence of Christian commitment and active church involvement.

Nice To Haves

  • Three or more years of administrative work experience, preferably in higher education.
  • Experience in coordinating groups of people, tasks, schedules, events, and physical spaces.
  • Proficiency in Adobe Creative Cloud, Canva, Mac products, and Constant Contact.
  • Demonstrated understanding of social media and familiarity with current trends in social media.
  • Familiarity with some artificial intelligence (AI) models and willingness to learn how to effectively use them in the workplace (for instance, an expressed willingness to attend training sessions).
  • Ability to quickly learn and assist in the implementation of new software.
  • Accuracy, attention to detail, and the ability to work as a team player.

Responsibilities

  • Coordinate and manage course scheduling processes across undergraduate and graduate programs
  • Serve as a key liaison between faculty, administration, and university departments
  • Support faculty recruitment efforts, including interview coordination and candidate communication
  • Organize and execute events such as program activities, chapels, and academic conferences
  • Oversee program assessment efforts, including data collection and reporting for accreditation
  • Manage communications, reporting, and social media updates for academic programs
  • Assist in budget tracking, reporting, and scholarship administration processes
  • Provide administrative and operational support for student services and academic advising coordination
  • Facilitate partnerships and communication with campus offices and external stakeholders
  • Maintain organized systems, records, and workflows to support efficient daily operations
