About The Position

Wharton-Smith, Inc., a highly regarded construction company, is seeking qualified candidates for a Project Admin (administrative) position in the Hollywood, FL area. This position will be based on-site at a project location in Hollywood, FL. The role involves providing administrative support to project teams, including the Project Manager, Project Engineer, and Superintendent. Key responsibilities include utilizing project management software for tasks such as generating and tracking subcontracts, purchase orders, and bonds, as well as using other departmental software for report research. The position requires meticulous review of work for accuracy and thoroughness, maintenance of project documents, and assembly of supporting documents for project manuals. Basic internet functionality and knowledge of processing Owner Direct Purchase purchases and MBE reporting are beneficial. Experience with RedTeam Software is also a plus. The role encompasses other general office duties as needed.

Requirements

  • Excellent organizational and problem-solving skills.
  • Prioritize and manage multiple projects simultaneously, and proactively follow through on issues in a timely manner.
  • Ability to work independently and in a fast-paced team environment with limited supervision.
  • Detail-oriented and self-motivated.
  • Excellent interpersonal skills with co-workers and clients (via phone, email and in-person).
  • Must have the ability to comply with applicable department policies, procedures, rules and regulations.
  • Proficient in Microsoft Word, Excel, and Outlook.
  • Proficient in copying/moving files and creating directories in a Windows environment.
  • Attention to detail and math skills are also essential.
  • Possess a valid driver’s license.
  • Reliable and professional demeanor.

Nice To Haves

  • Knowledge of processing Owner Direct Purchase purchases and MBE reporting is a plus.
  • Knowledge of RedTeam Software is a plus.

Responsibilities

  • Ability to access and perform routine functions on the Internet.
  • Knowledge of processing Owner Direct Purchase purchases and MBE reporting is a plus.
  • Knowledge of RedTeam Software is a plus.
  • Other administrative and general office duties as needed.
