We are seeking an organized, enthusiastic Operations Assistant to join our small team. If you are looking to launch your career in business operations and want to learn how a company runs from the ground up, this is the perfect spot for you. Working closely with our leadership team, you will handle the day-to-day administrative tasks that keep our business organized and running smoothly. This is a collaborative, hands-on role where you will get to learn a bit of everything, from human resources and company culture to the basics of government contracting (GovCon). We don't expect you to know everything on day one; we are looking for a proactive team player who is eager to learn, loves helping others, and enjoys variety in their workday.

Requirements

  • Great Communication: You will be interacting with our team and external partners, so friendly and professional communication is key.
  • Organization Skills: You love checklists, staying organized, and keeping things on track.
  • Eagerness to Learn: You don't need years of GovCon experience—just a curiosity about how businesses operate and a willingness to learn our processes.
  • A Helpful Attitude: You enjoy stepping in to support the team where needed and feel comfortable asking questions when you need guidance.
  • GovCon Background: Direct experience in government contracting recruiting, preferably within a small business environment.
  • Tech-Savvy: Proficient with Applicant Tracking Systems (ATS), LinkedIn, Indeed, Microsoft Excel, Microsoft Word, Google Suite, Asana, and Slack.
  • Attention to Detail: High level of precision in document formatting and administrative tracking.
  • Problem-Solving Mindset: You tackle difficult challenges head-on, don't back down in the face of adversity, and stay focused on finding solutions when things don't go according to plan.
  • Strong Communication: Exceptional written and verbal skills; able to engage effectively with team members and external candidates
  • Willingness to Learn: A "can-do" attitude and a desire to learn miscellaneous areas of the business, including HR and contract assistance.

Responsibilities

  • Help welcome new team members by assisting with onboarding paperwork, setting up accounts, and keeping our internal HR files organized.
  • Help prepare team resumes and project summaries using our templates so they look polished, professional, and ready for official government bids.
  • Assist with tracking basic security and clearance paperwork, helping ensure our records are up-to-date and organized.
  • Help our team grow by posting open roles online, scheduling interviews, and keeping in touch with applicants so they have a great experience.
  • Use everyday tools like Google Suite, Microsoft Word/Excel, Slack, and Asana to keep our tasks tracked and daily operations running efficiently.
