About The Position

Sierra Meadows Behavioral Health is a growing behavioral health organization serving patients and families across multiple outpatient and residential programs in California's Central Valley. Our team is passionate about delivering high-quality care — and we need strong operational support to keep our facilities and programs running smoothly. We're looking for a dependable, organized Operations Assistant who can own facilities coordination, manage vendors and purchase orders, support our Program Managers, and help onboard new team members — all while occasionally pitching in on personal tasks for our executive team.

Requirements

  • 1+ year of experience in an operations, administrative, or office support role; recent graduates with relevant experience are encouraged to apply.
  • You follow through. Every time.
  • Strong communicator — comfortable with contractors, program managers, and executives alike.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Discretion and integrity when handling confidential information.
  • Comfortable with occasional personal tasks as part of the job.
  • Valid CA Driver's License and reliable transportation for local travel.
  • Must pass background check, health clearance, and TB screening.
  • High school diploma required

  • Any exposure to purchase orders, vendor coordination, or facilities support is a bonus.
  • college degree a plus.

Responsibilities

  • Be the go-to for facility needs across all our locations — log maintenance requests, dispatch vendors, and follow through until issues are resolved.
  • Support new facility openings and coordinate moves between locations.
  • Prepare facilities for tours, audits, accreditation reviews, and events.
  • Keep facility records organized: leases, vendor contacts, maintenance logs, compliance files.
  • Gather and compare pricing from approved vendors; compile quotes and share findings with the team to support purchasing decisions.
  • Process and track purchase orders from submission through delivery; flag any discrepancies to the appropriate team.
  • Maintain vendor contact lists and basic records including pricing history and service notes.
  • On an occasional basis during regular business hours, you may assist our COO and CEO with personal tasks. This is a small but trusted component of the role that requires discretion and a service-oriented mindset.
  • Coordinate personal travel arrangements, including planning, logistics, and itinerary management as directed.
  • Support personal projects by providing coordination, research, and follow-through as assigned.
  • Assist with personal organization and scheduling as requested, with a high standard of confidentiality.
  • Partner with Program Managers on facility projects, supply procurement, and day-to-day operational needs.
  • Help with prep for inspections, licensing reviews, and compliance documentation.
  • Provide hands-on support when Program Managers need an extra set of organized hands.
  • Coordinate onboarding for new hires under C-suite and Directors — scheduling, paperwork, system access, first-day logistics.
  • Collaborate with HR and department leads to keep onboarding timelines on track.
  • Serve as a friendly, organized first point of contact for incoming team members.
  • Provide general admin support to the COO and leadership as needed.
  • Maintain organized records, shared documentation, and tracking systems.
  • Other duties as assigned — and in a growing organization, there will always be more.
