About The Position

PAFA is seeking a proactive and highly organized Operations and Security Coordinator to lead daily campus security and operational functions while helping create a safe, welcoming, and well-managed environment for community members. Reporting to the Chief Operations Officer, this hands-on role supervises security and housekeeping teams, coordinates emergency and event operations, and drives operational excellence through strong communication, accountability, and problem-solving. The Operations and Security Coordinator serves as a lead operational resource responsible for coordinating and executing PAFA's campus security and select operational functions. Reporting to the Chief Operations Officer (COO), this role plays a critical part in ensuring a safe, secure, and well-managed campus environment. This position operates with a high degree of independence, coordinating vendor performance, supporting incident response, and driving execution of operational standards across security, housekeeping, and event support functions.

Requirements

  • Bachelor's degree preferred; equivalent combination of education and relevant experience considered.
  • Minimum of 4-6 years of experience in security, operations, or facilities management, preferably in museum, high education, cultural, or public –facing institutional environment.
  • Strong understanding of security operations, event coordination, or facility management.
  • Ability to work independently and make sound operational decisions.
  • Strong communication, problem-solving, and organizational skills.
  • Working knowledge of security operations, access control system, emergency response procedures, and life-safety requirements.
  • Ability to exercise sound judgement in sensitive, high-pressure situations.
  • Proficiency with standard office software and incident reporting systems.

Responsibilities

  • Serve as the primary day-to-day manager and point of contact for contracted security and housekeeping providers, establishing clear expectations, performance standards, and accountability measures.
  • Coordinate daily operational coverage to ensure appropriate staffing levels and continuity of services.
  • Monitor contractor performance, address service gaps, and recommend corrective actions or service adjustments to the COO as needed.
  • Review invoices, verify service delivery, and flag discrepancies or concerns.
  • Assist the COO in developing and managing the security and housekeeping operating budgets.
  • Support implementation of operational procedures, workflow improvements, and continuous improvement initiatives.
  • Partner with Visitor Experience, Museum, and Events teams to support operational planning and staffing for exhibitions, public programs, and special events.
  • Conduct routine security inspections and risk assessments related to access control, life safety, collections protection, and visitor/public safety; recommend and implement corrective actions.
  • Oversee access control systems, key and card access programs, visitor management protocols, and related internal security procedures.
  • Support and coordinate incident response activities, including documentation, reporting, and follow-up actions.
  • Serve as the primary liaison with local police, fire, and emergency response agencies.
  • Provide on-site leadership and operational support during emergencies, incidents, and high-profile events.
  • Maintain accurate records, reports, and operational documentation related to contracted services, incidents, inspections, and compliance activities.
  • Perform other related duties as assigned by the Chief Operations Officer.
