About The Position

The Maryland Classic Youth Orchestras (MCYO) of Strathmore is seeking an Operations and Production Coordinator (OPC) to join their team. This role is crucial for supporting the MCYO artistic staff in the preparation and performance of events. The OPC will focus on event production, stage management, and logistics planning for MCYO programs. The position emphasizes fostering an inclusive and supportive environment, ensuring all young musicians feel valued and empowered, and promoting a culture where diversity is celebrated. MCYO is a highly regarded youth orchestra program with a long history, offering various ensembles to over 600 talented musicians.

Requirements

  • 2+ years relevant work experience.
  • Proven history of efficient coordination of multiple projects with varying timelines.
  • Close attention to detail in logistical planning and preparation.
  • Exceptional organization and communication skills.
  • Demonstrated proficiency working with a team.
  • Ability to work a flexible schedule that includes evenings and weekends.

Responsibilities

  • Assisting with planning and preparation for events, including performances, rehearsals, parent orientation meetings, community outreach, and auditions.
  • Identifying, reserving, and preparing spaces for auditions, performances, and rehearsals.
  • Stage managing performances, dress rehearsals, and other events.
  • Liaising with performance partners and a professional, unionized backstage production crew.
  • Preparing and providing students with requirements for warm-up/rehearsal schedules, concert essentials, stage plots, and production sheets.
  • Assembling back-of-house volunteers for concerts, auditions, rehearsals, and events.
  • Coordinating the logistical aspects of all recording, videography, and technology projects.
  • Collecting and formatting excerpts and sight-reading for each ensemble.
  • Managing the online audition registration and enrollment process.
  • Coordinating and overseeing the yearly audition schedule.
  • Developing and communicating details about the audition process, requirements, and selection deadlines.
  • Handling audition/enrollment queries and troubleshooting problems.
  • Ensuring the operational needs of MCYO orchestras and small ensembles are met.
  • Assisting with rehearsal set up and break down, chairs, stands, podiums, and sound requirements.
  • Managing music purchases, copying, and distribution.
  • Maintaining up-to-date rosters, attendance charts, and distributing important memos, flyers, and sign-ups.
  • Maintaining inventory records for equipment and instruments; monitoring instrument loans, rentals, and repairs.
  • Preparing and emailing student evaluations.
  • Coordinating any travel or out-of-town performances.
  • Serving as the first point of contact for MCYO’s nine orchestra managers.
  • Assisting with the logistical needs of the managers.
  • Maintaining the MCYO office space and files and ordering supplies.
  • Responding to incoming office emails/calls from families, coaches, and colleagues.
  • Assisting with the preparation of concert programs.
  • Collecting and tracking all merchandise payments and distribution.
  • Maintaining and digitizing the music library and database.
  • Attending MCYO and Strathmore staff meetings.
  • Assisting in planning and executing Strathmore’s Off Campus Bloom Programs.
  • Acting as the in-office liaison with Strathmore Operations and Marketing/Communication.
  • Monitor and manage Momentus Elite, Booking Sheets, and partner activities.
