About The Position

Your Part-Time Controller, LLC (YPTC) is a national leader in providing outsourced accounting services to nonprofit organizations and is one of the fastest-growing accounting firms in the US. The Operations and Communications Associate will work closely with the Director of Operations on internal communications, employee-facing messaging, calendars, and firm-wide systems. This role also partners with Executive Leadership by providing scheduling support and general administrative assistance. Additionally, the Associate supports various internal events (virtual, in-person, and hybrid). The ideal candidate is a proactive, detail-oriented professional who collaborates effectively with leadership, support departments, and staff at all levels, while managing multiple priorities and deadlines.

Requirements

  • Bachelor's or equivalent degree from an accredited college/university
  • 5+ years of experience in high-level administrative, strategic operations, or leadership supporting roles
  • Experience drafting, editing, and coordinating content and workflows for firmwide communications.
  • Proficiency with Microsoft 365 tools, including Outlook calendar management, Teams, Viva Engage, Viva Amplify, and SharePoint intranet editing
  • Excellent verbal and written communication skills, with a strong understanding of tone, audience, and message clarity in employee-facing communications
  • Strong attention to detail and ability to multitask, with excellent time management and adherence to deadlines
  • Demonstrated self-starter with a proactive mindset and an ability to anticipate problems and offer solutions
  • Ability to translate complex or leadership-level information into clear, employee-friendly messaging while maintaining consistent brand voice, formatting standards, and internal communication templates
  • High level of professionalism, integrity, and discretion in handling sensitive and confidential information
  • Exceptional judgment and demonstrated ability to make key decisions quickly and effectively
  • Skilled in Microsoft 365 applications used for communications, collaboration, and content management
  • Excellent relationship management skills, with the ability to collaborate effectively across departments
  • A commitment to ongoing continuing professional development
  • A commitment to on-site work in the Philadelphia office, as needed, up to 3 days per week
  • A willingness to travel up to 20% in conjunction with semiannual in-person regional meetings
  • Ability to lift 20-25 pounds when necessary

Responsibilities

  • Provide occasional support to members of the executive team, including internal scheduling, meeting preparation, centralized planning, communications, and special projects.
  • Prepare schedules and communications for Leadership Office Hours.
  • Prepare and execute internal communications on behalf of Executive Leadership, including drafting, routing for approval, and scheduling through appropriate internal channels.
  • Assist with meeting preparation and communication with the Board and its quarterly meetings.
  • Coordinate and manage logistics for all Executive Leadership meetings and events, including on-site support.
  • Assist the Director of Operations with the creation and distribution of firmwide communications and staff engagement content through internal newsletters, emergency alerts, SnapComms, Microsoft 365 communication tools, and other employee-facing messaging.
  • Maintain the internal communications calendar, including approval workflow tracking, scheduling, and execution.
  • Track internal communication activity, engagement, and analytics where applicable, for all internal channels.
  • Support Microsoft 365 tools used for internal communications and staff engagement, including the YPTC SharePoint intranet site, Viva Engage, Outlook, and Teams.
  • Assist with the creation, scheduling, posting, and tracking of internal communications through Microsoft Viva Engage, Viva Amplify, Teams, Outlook, and SharePoint.
  • Maintain and update the firm’s SharePoint intranet pages by coordinating with department leaders and content editors to ensure content is accurate, organized, relevant, and aligned with firm standards.
  • Provide basic administrative support for Microsoft 365 tools, including content updates, permissions coordination, instructions, and general troubleshooting.
  • Assist with coordinating and scheduling the firm calendar, including staff meetings, events, conferences, leadership meetings, office hours, and related Outlook calendar updates.
  • Provide support for regional and leadership in-person meetings, including logistics and onsite support.
  • Support preparation of the Annual Awards virtual meeting and other event or meeting-related projects as needed.
