About The Position

RealManage Elevated Onsite is seeking an Onsite Gate Supervisor for the Hunters Green Community Association in Tampa, FL. This role is responsible for supporting the safe, professional, and efficient operation of the community's access-control program. The position combines direct gate coverage with office-based supervisory and administrative duties. The employee will normally work three days at the gate and two days in the office, with flexibility to cover open gate shifts when qualified coverage cannot be secured. Requirements

  • High school diploma or GED equivalent.
  • Prior experience in supervision, scheduling, security, access control, customer service, payroll, or administrative operations are preferred.
  • Strong organizational, communication, customer-service, and conflict-resolution skills.
  • Ability to maintain confidentiality and handle resident, employee, payroll, vehicle, and access information responsibly.
  • Proficiency with computers, email, spreadsheets, scheduling systems, scanners, and access-control software.
  • Ability to prioritize competing responsibilities, respond calmly to emergencies, and work independently with limited supervision.
  • Reliable attendance and flexibility to assist with shift coverage when operationally necessary.
  • Ability to sit for prolonged periods at a desk and work on a computer.
  • Ability to occasionally stand, walk, bend, or reach as needed.
  • Ability to lift or move objects up to 10–15 pounds (e.g., files, office supplies).
  • Manual dexterity to operate a computer keyboard, mouse, telephone, and other office equipment.
  • Visual acuity to read printed materials, spreadsheets, and computer screens.
  • Hearing and speech ability to communicate effectively in person, by phone, and in virtual meetings.
  • Ability to work in a standard office environment with moderate noise levels.
  • Ability to work a standard schedule, with occasional extended hours as required.

Responsibilities

  • Perform gate attendant duties three days per week, or as otherwise assigned, and provide professional service to residents, guests, vendors, and emergency personnel.
  • Follow all visitor-processing, resident-access, identification, incident-reporting, and traffic-control procedures.
  • Cover open gate shifts when needed if another qualified attendant cannot be found, subject to management direction and operational requirements.
  • Maintain a professional gatehouse environment and ensure established access-control procedures are consistently followed.
  • Prepare, maintain, and distribute gate attendant schedules to ensure adequate coverage for all assigned gates and shifts.
  • Monitor scheduled and actual hours to help ensure gate attendants do not exceed 40 hours in a workweek unless overtime has been approved by management.
  • Review timekeeping records, identify discrepancies, and process or submit gate attendant payroll accurately and on time.
  • Coordinate shift changes, call-outs, vacations, and emergency coverage while minimizing overtime and maintaining required staffing levels.
  • Serve as the primary operational contact for gate access-control software and gatehouse hardware.
  • Monitor system performance, perform basic troubleshooting, document technical issues, and coordinate service or vendor support when necessary.
  • Run access, visitor, vehicle, incident, and other gate-related reports for management as requested.
  • Maintain accurate electronic and physical records related to gate activity and access-control operations.
  • Receive, listen to, document, and respond professionally to resident complaints and concerns involving gate operations or gate attendant conduct.
  • Review available records, video, system activity, and staff statements when investigating complaints.
  • Escalate significant incidents or unresolved concerns to management and assist with corrective action, follow-up, and communication.
  • Assist management with recruiting and hiring gate attendants, including reviewing applications, identifying qualified candidates, and participating in interviews.
  • Support onboarding, orientation, training, and ongoing coaching of gate attendants.
  • Monitor staff performance, attendance, uniform compliance, customer service, and adherence to established procedures; report concerns to management.
  • Receive, review, enter, scan, and maintain barcode applications and vehicle registration documents.
  • Verify that required information and documentation are complete before processing access credentials.
  • Maintain organized and confidential electronic and physical records in accordance with Association policies.
