About The Position

The Online Sales Counselor (OSC) serves as the first impression of Landmark Homes and plays a critical role in creating a world-class buyer experience from the initial inquiry through appointment handoff to the New Home Specialist (NHS) team. This role is responsible for managing and nurturing online leads, driving qualified appointments, supporting community traffic generation, and maintaining consistent communication with prospective buyers throughout their home search journey. The OSC acts as a trusted resource for buyers while supporting overall sales goals, conversion performance, and brand experience across all communities. The OSC Manager additionally provides leadership, accountability, coaching, and operational oversight for the OSC department while helping align sales, marketing, and customer experience initiatives.

Requirements

  • 2+ years of sales, customer service, marketing, or homebuilding experience preferred
  • Strong verbal and written communication skills
  • Highly organized with strong follow-through and attention to detail
  • Ability to multitask and prioritize in a fast-paced environment
  • CRM experience preferred (HubSpot experience is a plus)
  • Self-motivated with the ability to work independently and collaboratively
  • Strong customer service mindset and relationship-building ability
  • Professional, dependable, and solutions-oriented
  • Ability to learn and follow Landmark Homes sales systems and processes

Responsibilities

  • Respond to all phone, text, web, and email leads in a timely and professional manner
  • Qualify prospective buyers based on timing, motivation, financing, and home needs
  • Build relationships with prospects through consistent follow-up and personalized communication
  • Schedule and coordinate appointments for the onsite sales team
  • Create a seamless and professional handoff process between OSC and NHS teams
  • Become a trusted point of contact for buyers prior to onsite engagement
  • Guide buyers toward the best community, floorplan, and overall fit based on lifestyle needs
  • Maintain strong knowledge of community availability, pricing, incentives, timelines, and inventory opportunities
  • Deliver a high-energy, hospitality-driven customer experience aligned with Landmark Homes’ brand standards
  • Manage all leads and prospect activity within HubSpot CRM
  • Maintain accurate notes, communication history, and buyer status updates daily
  • Effectively manage pipelines, tasks, follow-ups, and long-term nurture opportunities
  • Monitor conversion metrics including lead count, appointments, sales contribution, and traffic performance
  • Utilize systems such as HubSpot, CallRail, Gmail, and other lead management platforms
  • Ensure proper organization and accountability of all incoming leads and backlog opportunities
  • Monitor online engagement channels and ensure responsiveness standards are maintained
  • Support community traffic generation efforts beyond traditional marketing campaigns
  • Assist with community events, broker outreach, networking opportunities, and local partnerships
  • Develop relationships with local realtors and industry professionals through calls, texts, emails, and in-person engagement
  • Monitor competitor activity, online positioning, pricing, and market trends
  • Review website, MLS, syndicated sites, and marketing collateral for accuracy and consistency
  • Support inventory awareness initiatives and community marketing efforts
  • Lead, coach, and support the OSC team to achieve company sales and conversion goals
  • Assist in hiring, onboarding, training, and performance management of OSC team members
  • Conduct ongoing coaching, accountability, and development conversations
  • Partner with Sales & Marketing leadership on department goals, strategy, and performance metrics
  • Ensure proper staffing coverage, phone responsiveness, and customer experience standards are upheld
  • Help de-escalate customer and broker concerns professionally and effectively
  • Participate in weekly leadership meetings and monthly strategy discussions
  • Foster a culture of urgency, professionalism, teamwork, and continuous improvement
  • Represent Landmark Homes with integrity, professionalism, and positivity at all times
  • Be proactive, coachable, and team-oriented
  • Maintain strong knowledge of the homebuilding industry, lending environment, and local market trends
  • Participate in all required sales meetings, trainings, and company events
  • Support Landmark Homes’ mission of becoming Northern Colorado’s Builder of Choice through exceptional customer experience and operational excellence
  • Weekend phone and lead coverage availability required based on business needs
  • Assist with office and phone coverage schedules as needed
