About The Position

The Onboarding Manager is the front-line lead for clinic onboarding and integration across Alberta. This is a remote/field-based role in Alberta, responsible for working directly with newly integrated clinics to ensure a smooth and well-supported transition into the 123Dentist network. You will act as the primary point of contact for Partner Dentists, Office Managers, and clinic teams throughout the onboarding journey. You will guide clinics through operational, technical, and people-related transitions, ensuring readiness for Day 1 and supporting stabilization post go-live. This role is highly hands-on and requires someone who is comfortable working in clinics, navigating change, and ensuring every location feels supported and set up for success.

Requirements

  • 5–7 years of experience in operations, customer success, onboarding, or field support
  • Strong understanding of cross-functional operations (HR, Finance, IT, Marketing, Clinical Operations)
  • Experience supporting change management, transformation, or integration initiatives
  • Excellent communication and relationship-building skills with the ability to guide teams through change
  • Strong organizational skills with the ability to manage multiple clinics and priorities simultaneously
  • Comfortable working in a fast-paced, field-based environment with regular travel
  • Proficiency in Microsoft Office 365 and Teams

Nice To Haves

  • Experience in multi-site, healthcare, dental, or franchise environments strongly preferred
  • Experience with practice management systems (e.g., Tracker, Dentrix, Abeldent) is an asset
  • PMP, Prosci, or related certification is an asset
  • Tracker software experience and exposure preferred
  • Bilingual English/French is an asset

Responsibilities

  • Serve as the primary point of contact for newly onboarded clinics throughout the integration process
  • Guide clinics through onboarding from initial introduction through Day 1 go-live and post-launch stabilization
  • Coordinate readiness activities across HR, IT, Finance, Operations, and Marketing workstreams
  • Ensure clinics meet integration milestones, timelines, and readiness requirements
  • Support practice management system (PMS) transitions and training activities
  • Facilitate clear and consistent communication between clinics and internal support teams
  • Translate operational updates into simple, practical guidance for clinic teams
  • Identify and escalate risks, issues, or friction points to Integration and Operations leadership
  • Support Day 1 activities to ensure systems, workflows, and tools are fully operational
  • Conduct post-onboarding follow-ups and clinic readiness audits
  • Capture feedback from clinics and contribute to continuous improvement of onboarding processes and tools
