About The Position

Imagine360 is currently seeking a Onboarding & HR Support Specialist to join our Client Experience team! The Onboarding & HR Support Specialist plays a key role in delivering a smooth, welcoming, and organized experience for new hires from offer acceptance through their first several weeks of employment. This role supports both pre‑boarding (offer acceptance to Day 1) and onboarding (Day 1 and beyond), while also assisting with HR administrative projects and day‑to‑day support.

Requirements

  • Bachelor's degree in HR, Organizational Psychology, Business Administration, or related field.
  • Proven experience in employee experience or engagement roles.
  • Strong understanding of HR best practices and organizational culture development.

  • Proficiency in HRIS systems and employee feedback tools is a plus.

Responsibilities

  • Serve as a primary point of contact for new hires once an offer is accepted
  • Coordinate and track all pre‑boarding steps to ensure new hires are ready for Day 1
  • Prepare, send, and monitor completion of required onboarding documents and forms
  • Initiate background checks, verifications, and other pre-employment requirements
  • Partner with Talent Acquisition, HR, IT, and hiring managers to ensure systems access, equipment setup, and first‑day readiness
  • Maintain accurate and timely updates in HR systems and onboarding trackers
  • Communicate key timelines, expectations, and next steps to new hires in a clear, friendly, and professional manner
  • Support the new hire preboarding process by preparing offer letters, coordinating background checks, monitoring required documentation, and maintaining communication with new employees to ensure all onboarding requirements are completed prior to their start date.
  • Provide ongoing onboarding support to employees and managers during the initial stages of employment, helping address questions and ensuring a smooth transition into the organization.
  • Support day‑of‑hire onboarding activities, including orientation logistics and new hire communications
  • Respond to new hire questions related to onboarding, systems, and general HR processes
  • Ensure employee records and system access are properly set up and maintained post‑hire
  • Support ongoing onboarding touchpoints (e.g., check‑ins, surveys, or follow‑up tasks)
  • Help maintain onboarding materials, templates, checklists, and communications
  • Provide day‑to‑day administrative support to the HR team as needed
  • Assist with employee data entry and updates in HR systems (e.g., job changes, status updates, documentation uploads)
  • Help with audits, reporting, and basic tracking related to onboarding and employee lifecycle activity
  • Support offboarding coordination for interns, temporary workers, or contractors as needed
  • Support cross-functional HR projects related to process improvement, documentation, or employee experience as needed
  • Maintain confidentiality and accuracy when handling employee data and sensitive information
