About The Position

The Onboarding Compliance Coordinator is responsible for auditing new-hire files, maintaining onboarding compliance standards, and providing administrative support to the Onboarding Team. This position ensures that onboarding documentation is complete, accurate, properly maintained, and compliant with company and regulatory requirements.

Requirements

  • High school diploma or GED required.
  • Must successfully pass a criminal background check.
  • Must possess a valid driver's license.
  • Proficient in speaking, reading, and writing English.
  • Must meet all applicable state, federal, and governmental requirements to work within BSLS programs.
  • Ability to effectively use standard office equipment and BSLS information technology systems.
  • Ability to communicate and function effectively as part of an interdisciplinary team.
  • Strong computer skills and proficiency with various software programs and applications.
  • Excellent verbal and written communication skills.
  • Ability to create professional employee communications and documentation.
  • Ability to work effectively with individuals at all levels of the organization.
  • Professional demeanor and conduct.
  • Demonstrated ability to multitask and manage competing priorities.
  • Ability to work independently with minimal daily supervision.

Nice To Haves

  • Two to three years of experience in Human Resources or office administration preferred.
  • Previous experience in a mental health or healthcare environment preferred.

Responsibilities

  • Conduct daily file reviews and audits of new-hire records to ensure completeness and accuracy.
  • Maintain compliance with all company policies, procedures, and applicable regulatory requirements.
  • Organize, prioritize, and electronically file large volumes of new-hire documentation.
  • Prepare and send documents through DocuSign and other electronic platforms.
  • Complete and document professional reference checks for all new Direct Support Professional (DSP) staff and other assigned positions.
  • Assist with background-check processing as needed, including tracking results and recording associated expenses.
  • Conduct Michigan Recipient Rights searches and background checks.
  • Provide reporting support to the department, including onboarding data updates, tracking, and maintenance.
  • Respond to calls and emails from new hires and staff and route inquiries to the appropriate individual when necessary.
  • Provide general administrative support to the Onboarding Team, including processing invoices, tracking expenses, and completing other assigned duties.
  • Comply with all company policies, procedures, and applicable regulatory requirements.
  • Protect the privacy, confidentiality, and security of medical records, proprietary information, and other confidential information related to Beacon Specialized Living, its Individuals, Team Members, activities, and affiliates, in accordance with applicable laws, including HIPAA, and contractual requirements.
  • Represent Beacon Specialized Living in a positive and professional manner and lead by example by modeling the organization's core values.
  • Address and help prevent employee gossip, harassment, favoritism, and other negative workplace behaviors to promote a positive and productive work environment.
  • Communicate effectively and appropriately with individuals at all levels of the organization.

  • Follow all Beacon Specialized Living policies, procedures, manuals, and guidelines.
  • Cooperate with Beacon Specialized Living, Department of Human Services (DHS) staff, and other regulatory bodies during inspections, investigations, inquiries, and related activities.
  • Perform other duties as assigned.
