About The Position

Bluestone Real Estate Services is seeking a full-time (30-40 hrs/wk) On-site Association Manager to oversee the day-to-day operations of one of their community associations in Downtown Portland. This role involves partnering closely with the Portfolio Manager and Board of Directors, while serving as a key resource for homeowners, staff, vendors, and service providers. It is a highly visible position for someone who can balance excellent customer service with strong operational judgment, organization, and follow-through.

Requirements

  • At least 2 years of association management or related experience.
  • At least 1 year of experience managing people.
  • Excellent customer service and relationship-building skills.
  • Strong written and verbal communication skills, including the ability to navigate sensitive situations with tact and professionalism.
  • Strong organization, time management, and attention to detail.
  • Ability to balance competing priorities and keep projects moving.
  • Proficiency with Word, Excel, Outlook, and the ability to learn association management software such as AppFolio.
  • Ability to participate in an on-call rotation and attend scheduled evening Board meetings.

Responsibilities

  • Oversee daily property operations and help ensure the community is operating at a high physical and financial standard.
  • Serve as a primary point of contact for homeowners and respond to questions, concerns, and property needs.
  • Partner with the Portfolio Manager and Board of Directors to establish priorities and carry out community initiatives.
  • Lead and support onsite staff and provide guidance to direct reports.
  • Conduct regular property inspections and identify maintenance, safety, and compliance concerns.
  • Coordinate maintenance requests, vendors, contractors, and service providers through completion.
  • Solicit and negotiate vendor contracts and monitor performance, quality, timelines, and budgets.
  • Assist with capital projects, emergency preparedness, and other property initiatives.
  • Review invoices, work orders, monthly financial statements, and variance reports.
  • Assist with annual budgets, reserve studies, financial reviews, and other association financial activities.
  • Administer association requirements including compliance notices, architectural requests, insurance documentation, owner delinquencies, and governing documents.
  • Attend scheduled evening Board meetings and participate in after-hours/on-call coverage as required.
