About The Position

InCheck’s DTOH department provides operations support to internal staff and external customers by performing InCheck service functions, utilizing in-depth knowledge of the business and managing internal technology. The DTOH Manager is ultimately responsible for quality of service, accurate report completion, account and vendor management, and ensuring efficient turnaround time. The DTOH Manager oversees the DTOH department and reports to the Chief Operating Officer.

Requirements

Knowledge of background screening, drug testing, occupational health services, and applicable industry regulations, including DOT/FMCSA requirements, workplace drug testing laws, chain of custody procedures, and PBSA standards.
Understanding of confidentiality requirements, including PII, HIPAA, and data security best practices.
Strong leadership, coaching, team development, and performance management skills.
Excellent communication, customer service, and relationship-building skills with clients, vendors, and internal stakeholders.
Strong organizational, problem-solving, and decision-making abilities with a focus on process improvement and operational efficiency.
Ability to manage multiple priorities, maintain attention to detail, and meet deadlines in a fast-paced environment.
Ability to analyze workflows, identify process improvements, and implement operational efficiencies.
Ability to learn and apply company policies, procedures, client requirements, and industry best practices while maintaining confidentiality and professionalism.
Bachelor’s degree (BA/BS) and 5+ years of related experience and/or training; or equivalent combination of education and experience.
3+ years of people leadership or supervisory experience
Experience managing multi-site vendors, clinics, or operational service teams
Experience with regulatory compliance (DOT/FMCSA, drug testing programs, healthcare administration, etc.)

Nice To Haves

Working knowledge of TazWorks and background screening industry experience preferred.

Responsibilities

Troubleshoot escalated requests and complex cases, determining appropriate resolutions and ensuring timely completion.
Coordinate and schedule drug screens, medical exams, and other client-requested services with clinics, Medical Review Officers (MROs), candidates, and vendors.
Manage requests from initiation through completion, maintaining accurate records and detailed documentation of all actions taken.
Apply client-specific requirements and guidelines accurately to reports and service requests.
Communicate scheduling updates, delays, and completion status to clients and internal stakeholders as needed.
Maintain scheduling systems, internal resources, and operational tools to support efficient service delivery.
Develop and maintain relationships with clinics, MROs, and testing vendors to improve scheduling, reporting, and service efficiencies.
Establish and maintain testing networks, including Post-Accident, Reasonable Suspicion, and other client-specific program requirements.
Manage and administer client random drug testing programs.
Partner with Sales and other departments to provide updated vendor information, pricing, and service capabilities.
Support client onboarding through network setup, workflow design, and implementation of client-specific procedures.
Maintain and update department training materials, standard operating procedures, and process documentation.
Monitor department workflows, identify inefficiencies, and implement solutions aligned with company goals and industry best practices.
Establish audit, quality control, and feedback mechanisms to ensure operational accuracy, compliance, and productivity.
Analyze vendor pricing, operational costs, and workflow trends to identify cost-saving opportunities and process improvements.
Support month-end reporting and accounting activities, ensuring the accuracy of workflows, reporting, and invoicing.
Train, coach, and develop team members, ensuring proficiency in all aspects of the role.
Identify emerging leaders and provide ongoing coaching, mentorship, and career development opportunities.
Conduct performance management activities, including recognition, feedback, corrective action, and development planning, in partnership with Human Resources as needed.
Plan and allocate resources to meet service levels, productivity goals, and quality standards.
Manage employee schedules, time-off requests, overtime approvals, and timekeeping processes.
Lead regular team meetings and participate in management meetings to promote communication, collaboration, and organizational alignment.
Foster a positive team culture that reflects company values, encourages engagement, and supports achievement of department goals through team-building activities and performance initiatives.
