About The Position

Valley Mountain Regional Center is excited to offer an outstanding opportunity for a detail-oriented and service-focused professional to join our team as Office Technician in our Clinical Department. The Office Technician will perform a variety of clerical duties requiring specialized knowledge and skills, exercise initiative and independent judgment within established procedures, and provide professional and sensitive contact with consumers, families, visitors, vendors, and the public.

Requirements

  • High school diploma or equivalent and two years of office experience required.
  • An Associate of Arts (A.A.) degree or business school certificate may be substituted for one year of required experience.
  • Knowledge of office procedures and practices.
  • Knowledge of grammar and spelling.
  • Knowledge of word processing and data entry methods.
  • Knowledge of Microsoft Office software, including Excel, Word, PowerPoint, Outlook, and Access.
  • Ability to type at a minimum speed of 25 words per minute.

Responsibilities

  • Operate the central telephone system and screen incoming telephone calls.
  • Greet and assist visitors in a professional and courteous manner.
  • Sort and distribute incoming and outgoing mail.
  • Perform data entry and information retrieval.
  • Maintain organized files and records.
  • Assist in compiling information for reports.
  • Complete copy request forms and facilitate file transfers.
  • Scan, sort, and electronically link physical and electronic files using Laserfiche.
  • Transfer files to the Program Manager or Administrative Assistant once files have been scanned and linked.
  • Maintain accurate and organized records in accordance with established procedures.
  • Send Requests for Information by fax or mail as directed by the assigned IC.
  • Set up packets and materials for the assigned IC as needed.
  • Handle sensitive information and public contact with discretion and professionalism.
  • Communicate effectively with staff, consumers, families, vendors, and members of the public.
  • Maintain confidentiality of records and information in accordance with organizational policies and procedures.
  • Perform word processing, proofreading, data entry, and information retrieval.
  • Assist with vendorization and CDER coordination.
  • Maintain files and assist with records management.
  • Prepare and send Requests for Information and correspondence as directed.
  • Prepare packets and materials for ICs.
  • Support WorkAbility students and clinical classes.
  • Assist with reports and other administrative activities.
  • Perform other related duties as assigned.
