Requirements

Responsibilities

  • Create a Welcoming First Impression: Greet visitors, clients, and team members with professionalism and warmth. Answer and direct incoming phone calls to the appropriate departments and team members. Maintain a clean, organized, and inviting reception area. Manage visitor check-ins and support office security procedures. Assist with scheduling meetings, preparing conference rooms, and coordinating office calendars. Handle incoming and outgoing mail, deliveries, and packages.
  • Support Data Processing & Administrative Operations: Accurately enter and maintain information in company systems. Review records and documents to ensure accuracy and completeness. Process routine forms, transactions, and requests in a timely manner. Assist with preparing reports, summaries, and other administrative documents as needed.
  • Keep the Office Running Smoothly: Monitor office supply inventory and help ensure essential items are always available. Help maintain shared spaces, including meeting rooms, break areas, and common spaces. Support the planning and coordination of team meetings, company events, and employee celebrations. Assist with internal communications and help route requests to the appropriate team members.
  • Make an Impact: Ensure data, records, and documents meet company standards for quality and accuracy. Deliver exceptional service to employees, clients, and visitors. Support onboarding activities for new team members, including organizing materials and resources. Participate in special projects and provide additional administrative support as needed. Identify opportunities to improve office processes and contribute ideas that increase efficiency and organization.
