About The Position

The Department of Developmental Services (DDS) has two excellent career opportunities for highly motivated individuals for an Office Support Specialist I position at the Wrentham Developmental Center (WDC). These positions support the administrative functions and needs of the Facilities Assistant Facility Directors.

Requirements

  • At least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:
  • I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.
  • II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
  • Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
  • Educational substitutions will only be permitted for a maximum of two years of the required experience.

Nice To Haves

  • Proficient with Microsoft Office Suite, specifically Excel/Access/Word.
  • Excellent organizational and communication skills.

Responsibilities

  • Organize flow of information in/out of Assistant Facility Director’s office.
  • Maintain and monitor databases, project files, forms, prepare and process documents, mailings, and reminder notices/calls to confirm scheduled meetings.
  • Serve as a liaison between Assistant Facility Director and outside agencies, and a resource to Unit Directors, and Department Heads.
  • Design and develop project specific Access databases, Excel spreadsheets, Word forms, Publishing software and Adobe Writer as requested. Generate reports based on complied data.
  • Answer and screen telephone calls, within scope of authority impart routine information concerning agency/community systems services or assess and appropriately triage calls to the correct team member.
  • Schedule and prepare meeting material and agendas for administrative meetings and committees, record minutes of meetings, transcribe minutes for Assistant Facility Director’s review and distribute as appropriate.
  • Process and track purchase orders for both Consumer Funds and State Fund purchases.
  • Receive and disseminate incoming confidential mail, scans, faxes, memorandum, e-mail, etc. to appropriate individuals.
  • Draft, edit, and type materials.
  • Operate standard office machines and equipment such as photocopiers, fax machine, computer, and calculators. Ensure ongoing functionality of equipment.
  • Assist the Assistant Facility Directors in the organization of special functions, meetings, mailings, and ordering supplies.
