About The Position

This position involves scanning, reviewing, recording, and verifying documents. The role also includes assisting the public via telephone and at the front desk with document location and public computer usage. Providing courteous customer service through various channels (office, phone, Tawk.To software) and assisting the public in navigating the Recorder of Deeds website are key aspects. The role requires knowledge of document types, recordability rules, real estate transfer tax, notary regulations, recording fees, and county municipalities and school districts. Responsibilities include scanning and recording documents, assisting the public with searches, cover page creation, and non-legal recording questions. The daily time allocation for these functions can adjust based on supervisor direction. The employee will manage the distribution and collection of money, reconciling daily collections with the supervisor. Additional duties include uploading subdivision plans and notary commissions to the state website, logging on/off public computers for IT updates, ensuring computer functionality, and assisting with special projects.

Responsibilities

  • Scanning, reviewing, recording, and verifying of documents.
  • Assist the public by telephone and at the front desk with locating documents and in the use of the public computers.
  • Provide courteous customer service in the office, over the phone, or using our Tawk.To software.
  • Assist the public in the navigation of Recorder of Deeds website, www.lancasterdeeds.com.
  • Record and scan documents.
  • Assist the public in searches, cover page creation, and any non-legal recording questions.
  • Distribution and collection of money taken in during the business day and reconciling the amount of monies collected with the supervisor at the end of each day.
  • Assist in uploading of any subdivision plans that come into the office.
  • Assist in uploading notary commissions to the state website per state requirements.
  • Logging on and off public computers weekly for IT updates.
  • Making sure all public computers are functional and ready for use.
  • Assist with special projects and performs other duties as assigned.
