About The Position

The Children’s Discovery Place Office Supervisor primary responsibilities include assisting with the development of a quality program according to guidelines established by NAEYC and State Licensing and development of an inclusive environment and positive relationships with families, children and staff. The Office Supervisor supports the daily operations of Children’s Discovery Place by creating a welcoming, organized, and efficient administrative environment for children, families, staff, and visitors. This role ensures smooth communication, accurate record keeping, regulatory compliance, and effective coordination of office functions to help maintain a safe, nurturing, and high-quality learning environment. The Children’s Discovery Place Office Supervisor serves as a key point of connection between staff and the director, supporting scheduling, documentation and overall operations with professionalism, confidentiality, and care.

Requirements

  • High School Diploma
  • Requires a minimum of three (3) years professional teaching experience
  • CDA or Degree in Early Childhood Education
  • Ability to lead staff in implementation of developmentally appropriate curriculum
  • Adhere to all SJRMC and CDP policies and regulations
  • Excel in verbal and written communication skills
  • Be flexible, trustworthy, and can multitask in different environments
  • Be technologically savvy and knowledgeable of different mediums including Google, Microsoft, etc.
  • Have experience creating systems to stay organized and will support in effectively maintaining files
  • Must be truly dedicated to our mission and will go above and beyond the requirements of the job to be an innovative and strategic problem solver and eager for feedback and to learn and grow in a fast-paced, mission-driven environment
  • Follow state and federal, and SJRMC guidelines, including immunizations, employment physical and required health and safety training.
  • Lift, move or hold children with a range of weight between ten (10) to forty (40) pounds.
  • Supervise and interact with children outdoors for extended periods in varied weather conditions.
  • Respond immediately and appropriately to multiple or unexpected situations or emergencies.
  • Maintain mental and physical alertness and appropriate levels of energy to perform essential job requirements

Responsibilities

  • In the absence of the Director, assume all delegated tasks and responsibilities within the center.
  • Ensures compliance with SJRMC policies and procedures.
  • Ensures compliance with NAEYC standards.
  • Ensures compliance with health and safety practices.
  • Follow state regulations pertaining to incidents of abuse or neglect.
  • Assist in marketing plans and activities; assist with event planning and logistics.
  • Participates in family orientation.
  • Participates in new employee orientation and training.
  • Assist and support Director with monitoring of maintenance of facility, equipment and supplies to ensure they are safe and in good repair.
  • Investigates and resolves staff and parent matter of significance with assistance of Director.
  • Mentors, coaches and models best teaching practices for staff.
  • Provides feedback for performance evaluations by completing Iters and Ecers, and NAEYC standard assessments in classrooms.
  • Ensures all staff interact and communicate respectfully with children demonstrating an inclusive environment.
  • Guide teaching staff with family communicate and building parent/teacher partnerships.
  • Trains, assigns, directs, schedules, and disciplines personnel with the assistance of the Director.
  • Assist Director in hiring and termination of staff.
  • Keep Director informed of any staff, children or family issues/concerns.
  • Participate in administration and implementation of programs to achieve staff retention and decrease teacher burnout and turnover.
  • Supervise staff in documentation of all accidents and notify families and Director in a timely manner.
  • If medical treatment is required notify the Director immediately.
  • Ability to judge multiple projects with superb accuracy.

  • Exceptional customer service skills, over the phone and in person, with our customers and internal departments.
  • Strong sense of urgency and problem-solving skills.
  • Prepare and modify documents including correspondence, reports, drafts, memos, marketing materials and emails.
  • Manage parent and staff portal: provide staff and parent’s support when needed.
  • Schedule parent intakes and give tours; assist in admissions and enrollment process.
  • Display professionalism and provide exceptional customer service to create a welcoming environment for school visitors and staff.
  • Successfully manage competing priorities, including main office inquiries, drafting school communications, assisting with school supply inventory, maintain aesthetics, and successfully plan and execute school events.
  • Assist in rooms with breaks and planning times.
