About The Position

The Office Supervisor at the Bennett Cancer Center functions as an effective leader and member of the health care team, working collaboratively with physicians, management, and staff. This role directly supervises, trains, evaluates, and disciplines office coordinators, providing mentorship, coaching, and performance evaluations. The supervisor identifies training needs, organizes continuing education, and fosters a collaborative work environment. They ensure proper staffing, develop and implement efficient processes, and oversee patient flow and administrative coordination. This position also manages scheduling, front desk operations, and facilitates inter-departmental communication. A key responsibility includes supervising radiation therapy billing, demonstrating expertise in the revenue cycle, prior authorizations, charge entry, coding accuracy, claim submission, payment posting, and denial management. The supervisor monitors accounts receivable, collaborates with clinical staff to verify documentation, and stays current with payer requirements and coding changes. They act as a liaison between billing, clinical, revenue integrity, and finance departments, addressing patient inquiries about charges. Additionally, the role involves managing provider schedules, coordinating meetings, demonstrating integrity and accountability, and acting as a point of contact for BCC staff. The supervisor recognizes and responds to urgent situations, arranges resources for patient follow-up, facilitates prescription refills, and ensures compliance with HIPAA and confidentiality. Participation in quality and workflow committees and oversight of office supplies and invoice submission are also key functions.

Requirements

  • Minimum of 5 years of experience in a healthcare customer service environment required.
  • HS diploma or GED required.
  • Requires excellent computer skills with proficiency in a Windows environment.
  • Possesses ability to multi-task and function as an integral member in a team environment.

  • Demonstrates excellent verbal and written communication skills.

Responsibilities

  • Provide mentorship, coaching, and performance evaluations for Office Coordinator staff.

  • Oversees patient flow and provides comprehensive administrative coordination to support all aspects of patient care for both new and established patients
  • Manages scheduling and front desk operations and facilitates communication with other departments to ensure seamless service delivery.
  • Communicates daily and reports any patient, office workflow, or personnel issues and updates, and escalates to Manager for review.
  • Supervises all aspects of radiation therapy billing and demonstrates expertise in overall revenue cycle performance, including charge capture, charge entry, and A/R management for physician practice as well as hospital revenue for the department.
  • Completes prior authorization, charge entry, coding accuracy, claim submission, payment posting, and follows-up on denials or underpayments.
  • Monitors accounts receivable and ensures timely resolution of outstanding claims to meet departmental financial goals.
  • Collaborates with physicians, therapists, and dosimetrists to verify appropriate documentation supporting billed charges.
  • Stays current with payer requirements, CPT/HCPCS coding changes, and regulatory updates that affect oncology billing.
  • Oversee accurate and timely completion of daily charges including resolution of charge capture questions, coding conditions (ICD10 and CPT/HCPCS), financial and payer audits, and other revenue cycle challenges requiring deep professional knowledge of each category.
  • Act as a point of contact between the billing office, clinical staff, revenue integrity, and hospital finance departments. Communicate billing requirements and updates to clinical staff to ensure accurate charge capture. Address patient inquiries related to charges and insurance coverage in a professional and timely manner.
  • Manages and organizes provider schedules and appropriately coordinates meetings as needed under the direction of the Manager.
  • Consistently demonstrates integrity, accountability, and respectful and courteous behavior toward patients, visitors, peers, co-workers and direct reports.
  • The OC Supervisor regularly communicates and disseminates important information, acts as liaison between BCC staff and other departments
  • Recognizes level of urgency/emergency and responds appropriately using standard operating procedures and critical thinking skills.
  • Appropriately arranges internal and external resources to support the highest standard of follow-up for patient visits. This may include diagnostic testing, referrals to other specialists, and admissions (both scheduled and emergent), and other administrative tasks related to patient care.
  • Facilitates the prescription refill process as needed between patient and provider.
  • Ensures compliance with HIPAA and all other aspects of confidentiality including appropriate handling of phone calls and medical record requests, both internally and externally, and further ensuring that patient EMR record is maintained with the most current data available.
  • Participates in cancer center and BCC committees on quality and workflow topics.
  • Oversee the ordering and inventory management of office supplies and equipment to ensure operational efficiency.
  • Ensures timely submission and tracking of all departmental invoices, maintaining compliance with financial protocols and deadlines.
