About The Position

The Office Supervisor at the Bennett Cancer Center functions as an effective leader and member of the health care team, working collaboratively with physicians, management, and staff. They manage scheduling and front desk operations, facilitate communication with other departments, and report on patient, office workflow, or personnel issues. A key responsibility includes supervising radiation therapy billing, demonstrating expertise in revenue cycle performance, charge capture, and A/R management. The role also involves managing provider schedules, ensuring compliance with HIPAA and confidentiality, participating in committees, and overseeing office supplies and invoices. Requirements

  • Minimum of 5 years of experience in a healthcare customer service environment required.
  • HS diploma or GED required.
  • Requires excellent computer skills with proficiency in a Windows environment.
  • Possesses ability to multi-task and function as an integral member in a team environment.
  • Exhibits excellent computer and technology skills.
  • Demonstrates excellent verbal and written communication skills.
  • Must exhibit a proactive and thoughtful approach to problem solving.

Responsibilities

  • Directly supervises, trains, evaluates, and disciplines office coordinators.
  • Provide mentorship, coaching, and performance evaluations for Office Coordinator staff.
  • Identify training needs and organize continuing education opportunities.
  • Foster a collaborative and supportive work environment that prioritizes patient-centered care.
  • Ensures proper staffing coverage for front desk team.
  • Develop and implement processes that align with industry best practices, optimize workflows, and ensure efficient use of available resources.
  • Oversees patient flow and provides comprehensive administrative coordination to support all aspects of patient care.
  • Manages scheduling and front desk operations and facilitates communication with other departments.
  • Communicates daily and reports any patient, office workflow, or personnel issues and updates, and escalates to Manager for review.
  • Supervises all aspects of radiation therapy billing and demonstrates expertise in overall revenue cycle performance, including charge capture, charge entry, and A/R management.
  • Completes prior authorization, charge entry, coding accuracy, claim submission, payment posting, and follows-up on denials or underpayments.
  • Monitors accounts receivable and ensures timely resolution of outstanding claims.
  • Collaborates with physicians, therapists, and dosimetrists to verify appropriate documentation supporting billed charges.
  • Stays current with payer requirements, CPT/HCPCS coding changes, and regulatory updates that affect oncology billing.
  • Oversee accurate and timely completion of daily charges including resolution of charge capture questions, coding conditions (ICD10 and CPT/HCPCS), financial and payer audits, and other revenue cycle challenges.
  • Act as a point of contact between the billing office, clinical staff, revenue integrity, and hospital finance departments.
  • Communicate billing requirements and updates to clinical staff to ensure accurate charge capture.
  • Address patient inquiries related to charges and insurance coverage.
  • Manages and organizes provider schedules and appropriately coordinates meetings.
  • Consistently demonstrates integrity, accountability, and respectful and courteous behavior.
  • Regularly communicates and disseminates important information, acts as liaison between BCC staff and other departments.
  • Recognizes level of urgency/emergency and responds appropriately using standard operating procedures and critical thinking skills.
  • Appropriately arranges internal and external resources to support the highest standard of follow-up for patient visits.
  • Facilitates the prescription refill process as needed between patient and provider.
  • Ensures compliance with HIPAA and all other aspects of confidentiality.
  • Participates in cancer center and BCC committees on quality and workflow topics.
  • Oversee the ordering and inventory management of office supplies and equipment.
  • Ensures timely submission and tracking of all departmental invoices, maintaining compliance with financial protocols and deadlines.
