About The Position

The Office Specialist position provides essential clerical support to school personnel, serving as a key point of contact for staff and the public. This role involves maintaining accurate records, distributing information, and assisting with various administrative and operational tasks to ensure the smooth functioning of the school office. The position reports to the Principal or Vice Principal.

Requirements

  • High school diploma or equivalent.
  • Job related experience is preferred.
  • Ability to operate standard office equipment including pertinent software applications.
  • Ability to prepare and maintain accurate records.
  • Ability to screen telephone calls.
  • Ability to perform basic math, including calculations using fractions, percents, and/or ratios.
  • Ability to understand written procedures, write routine documents, and speak clearly.

Responsibilities

  • Administering basic first aid and distributing medication under specific guidelines.
  • Answering telephone calls, screening, transferring, responding to inquiries, and taking messages.
  • Collecting payments for various school events and activities.
  • Compiling data from various sources for report preparation and administrative support.
  • Completing enrollment and withdrawal activities.
  • Coordinating assigned projects and program components such as picture day, student assemblies, and volunteer paperwork.
  • Distributing items within the school site, including mail, messages, and application packets.
  • Greeting visitors, parents, students, and vendors, responding to inquiries, and directing them appropriately.
  • Maintaining the automated student attendance system for accurate tracking.
  • Monitoring students referred for illness or disciplinary action.
  • Obtaining attendance records for student entry and exit during school hours.
  • Performing general clerical functions including scheduling, copying, faxing, data entry, and filing.
  • Preparing and maintaining manual and electronic documents, files, and records.
  • Presenting information on administrative procedures to orient new personnel and disseminate information.
  • Procuring and distributing supplies and materials.
  • Responding to a wide variety of inquiries from internal and external parties.
  • Supporting classroom teachers and other school personnel.
  • Troubleshooting equipment malfunctions and referring for repair services.
  • Verifying student-related data for accuracy.
  • Attending meetings as required.
  • Performing other related duties as assigned.
