About The Position

A career as a Nebraska Department of Transportation (NDOT) Office Specialist is all about making sure that day-to-day office tasks run smoothly. Requirements

  • Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency.
  • Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.
  • Must maintain regular and reliable attendance.
  • Must have a valid driver's license or the ability to provide independent authorized transportation.
  • Ability to prioritize requests, manage time well, and multitask.
  • Good organizational skills, attention to detail, and accounting skills are required.
  • Adaptability to change is essential.
  • Must have good computer skills, proficient typing skills, and attention to detail.
  • Must be able to utilize time and organize work to meet deadlines and prioritize requests, have the ability to work under pressure, and have good interpersonal and communication skills.
  • Must have the ability to disseminate information in relation to geographic location or highway system and direction.
  • Must be able to deal professionally with the public and NDOT employees.
  • Must be able to work with minimal supervision and be self-motivated.
  • Must work well in teams, have a high level of discretion and judgement, and have a good attitude, temperament, and patience.

  • The position may occasionally require overnight travel and periodic work outside normal working hours.

Responsibilities

  • Serve as receptionist by waiting on walk-in and phone customers.
  • Answer multi-line telephone, screen and qualify callers' requests, direct calls to appropriate personnel, and take detailed messages.
  • Prepare and proofread correspondence.
  • Audit invoices and forward through correct channels.
  • Enter State Contract commodities and services into E1.
  • Audit and enter reconciliations for Procurement Cards into the PCS system.
  • Create and audit District personnel expense reimbursements.
  • Assist customers with automated truck permit system and issue permits, as requested.
  • File documents.
  • Prepare outgoing mail and create UPS shipping labels.
  • Perform data entry into various NDOT computer systems.
  • Create and/or update Microsoft Excel spreadsheets, Word documents, and Outlook Calendars.
  • Administer the Adopt-a-Highway program.
  • Order fuel, propane, and other items from Procurement.
  • Assist with Kronos questions.
  • Issue hay permits during season.
  • Monitor Lucity and EKOS.
  • Enter SPDs and incidents into OnBase.
  • Order signs from Traffic Engineering.
  • Assist in set-up an clean-up of meetings.
  • Attend training classes as needed.
  • Perform other duties, as assigned.
