About The Position

This position is responsible for a variety of complex administrative and clerical operations. The duties include providing advanced and specialized clerical support to a Program Manager, professional, or technical staff. Responsibilities may involve preparing documents, correspondence, reports, and other materials on general and technical subjects, and potentially transcribing oral or written material. The role may also involve composing correspondence, attending meetings, recording minutes, preparing agendas, functioning as principal administrative support for a division or program area, receiving funds and issuing receipts, operating and maintaining a billing system, and maintaining inventories of equipment and supplies. Regular attendance, maintaining a professional and courteous manner, and the ability to work harmoniously with others are essential.

Requirements

  • High school diploma or equivalent, plus three months of responsible clerical experience; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.
  • Knowledge of modern office practices and procedures.
  • Proficiency in the MS Office suite of products.
  • Knowledge of business English, spelling, grammar, punctuation, arithmetic, and routine bookkeeping procedures.
  • Operation of office equipment including photocopy machines, multi-line phone systems and personal computers.
  • Skill in taking notes and transcribing oral or written materials.
  • Ability to learn assigned tasks rapidly and to adhere to prescribed routines and established departmental policies.
  • Ability to plan, organize and complete work in a timely manner.
  • Ability to perform work with initiative and independent judgment and to use resourcefulness and tact in public contacts.
  • Ability to maintain complex clerical records and to prepare accurate reports.
  • Ability to understand and apply guidelines to a variety of operational requirements.
  • Ability to express ideas clearly, both orally and in writing.
  • Must pass a criminal history background investigation.
  • Possession of or ability to obtain a valid Oregon driver’s license required.
