About The Position

This role is an excellent opportunity for individuals looking to gain hands-on experience overseeing daily operations of an office location while developing skills needed for future Office Manager or leadership roles. The position provides direct exposure to site coordination, staff oversight, and administrative operations, with guidance and support from leadership. Performs administrative and operational duties to support agency functions using office technology (phones, email, EHR systems), while assisting in the coordination of daily workflows, staff support, and site needs.

Requirements

  • High school diploma/GED or at least 1 year office experience.
  • One year experience in mental health or medical setting preferred.
  • Proficient in Microsoft Word, Outlook, and Excel.
  • Excellent communication skills in all areas of office operations.
  • Knowledge of office equipment and front desk procedure.
  • Ability to conduct interviews and meetings and to manage time and prioritize projects.
  • Good writing and verbal skills.

Nice To Haves

  • Bilingual (Spanish) preferred.

Responsibilities

  • Support the day-to-day operations of an assigned office location to ensure smooth and efficient workflow
  • Assist in overseeing administrative functions and ensuring coverage during business hours
  • Coordinate site needs such as supplies, vendor communication, and facility-related items (with leadership support)
  • Gain exposure to operational decision-making and problem-solving within a healthcare setting
  • Provide guidance and day-to-day support to administrative staff under the direction of the Office Manager
  • Assist with scheduling, coverage, and workflow coordination for front office staff
  • Participate in onboarding and training of new team members
  • Model professionalism, teamwork, and strong customer service
  • Serve as a lead point of contact for clients, visitors, and staff, ensuring a welcoming and professional environment
  • Support front desk operations including calls, scheduling, check-in/check-out, and patient communication
  • Assist clients in navigating services and connecting with appropriate providers
  • Oversee and support accurate creation and maintenance of client records in the EHR
  • Ensure required documentation and compliance standards are met
  • Assist with releases of information and record audits
  • Support and monitor insurance eligibility processes and claims-related workflows
  • Assist with resolving eligibility issues and claim denials in coordination with billing teams
  • Maintain awareness of funding sources and ensure accurate data entry
  • Provide administrative support to clinical staff (therapists, case managers, prescribers)
  • Assist with coordination of services such as prior authorizations, prescription requests, and scheduling needs
  • Promote a respectful, inclusive, and person-centered environment for all clients and staff
  • Demonstrate strong interpersonal and communication skills across diverse populations
  • Develop strong time management and organizational skills to support office operations
  • Assist in tracking productivity, workflows, and administrative processes
  • Actively participate in training and development opportunities related to leadership and office operations
  • Gain exposure to quality assurance, reporting, and administrative management functions
  • Engage in cross-training to build well-rounded operational knowledge
  • Complete additional administrative tasks and special projects as assigned to support site and organizational needs
