About The Position

This role is responsible for leading the day-to-day operations of a small site or shift, overseeing up to two employees. The specialist will manage customer requests, workflow, service quality, and contract compliance. Key duties include performing document production tasks such as printing, scanning, shipping/receiving, binding, cutting, and punching. The role also involves professional communication with clients, customers, vendors, and internal teams, as well as maintaining inventory, supplies, reports, work orders, and handling facility-related requests. Additionally, the specialist will support site profitability, invoicing, payroll accuracy, and P&L management.

Requirements

  • High school diploma or GED
  • 2+ years of experience in a related field
  • Experience delivering classroom and/or informal training sessions
  • Experience operating advanced machines and completing complex jobs
  • Experience setting and prioritizing specific, realistic goals
  • Strong organizational, communication, and leadership skills
  • Ability to effectively lead and train employees
  • Strong attention to detail and ability to learn quickly
  • Basic knowledge of Outlook, Excel, Word, Teams, and other office programs
  • Experience with basic shipping/receiving, printing, scanning, and document finishing
  • Good technical skills and ability to operate complex machinery
  • Ability to stay current with technology and industry trends
  • Ability to sit at a computer for extended periods and stand while completing product assembly
  • Ability to walk, stand, bend, reach, lift, and carry objects weighing up to 50 lbs
  • Moderate dexterity and basic keyboard, calculator, hand-tool, and eye/hand coordination skills

Responsibilities

  • Lead and coordinate daily site operations and ensure customer requests are completed accurately and on time.
  • Monitor workflow, productivity, quality, deadlines, and service level agreements.
  • Serve as the primary on-site contact for customer issues and contract compliance.
  • Communicate with customers through email, phone, and regular reporting.
  • Perform shipping and receiving activities with clients and USPS.
  • Operate printing, scanning, and document production equipment; complete jobs including assembling, cutting, binding, and punching.
  • Manage office supplies and inventory and place orders as needed.
  • Coordinate conference rooms and A/V equipment resources.
  • Create and complete work orders, inspections, reports, and other required paperwork.
  • Monitor vendors and assist with vendor tours, inspections, and problem resolution.
  • Report facility issues and assist with scheduling repairs when needed.
  • Assist with small office moves, seating assessments, and layout needs.
  • Train employees on workflow, equipment, and machine operations as needed.
  • Ensure accurate employee timekeeping, attendance, and payroll information.
  • Set goals, provide training, conduct performance reviews, and address performance or attendance issues.
  • Assist with staffing and performance management of site personnel.
  • Support pricing, orders, invoicing, and other customer-related issues by coordinating with sales.
  • Assist with month-end management reporting and manage financial results, including P&L.
  • Maintain efficient workflow and hold employees accountable for quality and productivity.
  • Follow company policies, procedures, and tools to maintain operational and service standards.
  • Perform other duties as assigned.
