About The Position

Staff designated at Dickinson Wright PLLC (“the Firm”) as Office Services Manager are responsible for providing oversight of the Ann Arbor, Austin, Detroit, Columbus, Phoenix and Reno office services and reception staff, provide professional support services, including equipment, facilities, courier, copy, print, digital mail and other support services as requested, to attorneys and clients of the Firm. The position is a full-time, exempt position.

Requirements

  • Possess the ability to organize and prioritize numerous tasks and complete them under time constraints with minimal supervision;
  • Have exceptional written and verbal communication skills with a proven ability to consistently display professionalism in tone and spirit;
  • Possess the ability to identify and analyze issues and recommend and implement solutions;
  • Possess the ability to operate postage machines, digital mail, copy machines, and all other conference room equipment in the office;
  • Work may require irregular hours, and occasionally requires more than 40 hours per week to perform the essential duties of the position;
  • Possess the ability to use database software, spreadsheet, and word processing software and equipment to complete analysis and reports as requested.

Responsibilities

  • Manages the staff listed above (“staff”) and ensures proper staffing levels, prioritization of workload and continuing training for the staff. Leads by example and remains accessible to the staff.
  • Ensures that all office services and conference rooms are operational for the delivery of client services;
  • Oversees the collection, routing and digital mailing of U.S. mail, inter-office mail in accordance with department procedures; ensures that mail is properly posted and taken to the postal center at the end of the day. Oversees the processing of certified and Registered mail and delivers same to postal center;
  • Monitors office supply stock and orders office supplies as needed;
  • Responsible for logging incoming and outgoing Federal Express packages ensuring that outgoing packages are deposited in the Federal Express pickup box on a timely basis;
  • Responsible for understanding how to set up videoconference equipment upon request and assisting the IT Department, as needed, with the setting up of equipment for conference meetings;
  • Ensures that copy, print, and scan projects in the department are completed on a timely basis;
  • Responsible for the delivery and setup of food and beverages, as requested, for in-office conferences and office functions;
  • Ensures that each copy station is neat and orderly and stocked with appropriate supplies. Makes certain each copy machine with paper and wipes down copier with disinfectant wipes;
  • Performs minor repairs, moving office furniture, and other miscellaneous/general services within the office. Responsible for setting up new attorneys and secretaries with supplies and equipment;
  • Ensures that local courier services are provided as needed (mileage is reimbursed);
  • Provides relief receptionist duties, as required;
  • Other duties as may be assigned.
