Fish & Richardson, a premier global intellectual property law firm, is seeking an Office Services Coordinator to join their fast-paced Operations Department in the Silicon Valley office. Requirements

  • High school diploma or equivalent
  • 1+ years office services experience, preferably in the professional services industry.
  • Relies on instructions and pre-established guidelines to perform the functions of the job
  • Ability to organize and prioritize numerous tasks and complete them under time constraints
  • Ability to acquire and maintain a working knowledge of all software programs used in the department
  • Interpersonal skills necessary in order to communicate and follow instruction effectively from a diverse group of attorneys, clients, and staff, communicate professionally by phone, and provide information with courtesy and tact.
  • Ability to work in the Silicon Valley office 5 days a week is required

Responsibilities

  • Log and distribute all incoming and outgoing mail, packages, deliveries, and faxes. Weigh mail and affix appropriate postage. Package outbound shipments efficiently and economically to ensure safe delivery.
  • Complete assigned copy, scanning, printing, and binding projects. Restock office machines with paper daily. Ensure reprographics, office services, and satellite supply stations are clean and organized. Attend to repairs and place service calls as needed.
  • Keep track of kitchen and office supply inventory levels and place orders as needed.
  • Monitor and maintain conference rooms and visiting attorney offices in excellent condition, ensuring equipment is available and working, trash is emptied, surfaces are clean, and supplies are replenished.
  • Set up, test, and prepare video conferencing equipment for meetings, including WebEx meetings. Deliver and set up refreshments before meetings. Break down equipment and clean rooms promptly after meetings.
  • Work with the Receptionist to order and set up food for meetings and forward invoices.
  • Provide coverage for the Receptionist's breaks and days off as needed.
  • Coordinate shredding of materials, consolidating and ordering service as necessary.
  • Order, set up, and clean for breakfast and lunch meetings.
  • Supply conference rooms and visiting attorney offices.
  • Contact service representatives for equipment problems regarding fax machines, copiers, postage meters, coffee makers, and water coolers.
  • Maintain a neat appearance of office common areas.
  • Drop off mail at the end of each day, including couriered mail and packages.
